ORGANIZATIONAL CONTEXT

We are seeking to fill the position of Business Support Assistant with the Human Resource Talent Acquisition team based at our Country Office in Maputo, Mozambique. We are looking for a dynamic, motivated team member who is keen to bring their skills and knowledge to the context of WFP and contribute to strengthening the Talent Acquisition and Recruitment functions in WFP. You will receive close guidance from experienced colleagues, while getting opportunities for exposure and growth through supporting in the roll-out of Talent Acquisition activities and developing new tools and assets to strengthen the Human Resource Functions.

JOB PURPOSE

To deliver standard business support processes for a specific professional area of work, to facilitate effective service delivery.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A post-secondary certificate/ university degree in Human Resources, Psychology, Business Administration, or related field is a plus. Experience: Two (2) or more years of progressively responsible work experience in the relative business stream with experience in general administrative work and human resource operations.

Knowledge & Skills:

  • Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
  • Knowledge of work routines and methods in order to complete processes under minimal supervision.
  • Good understanding of key HR principles and talent acquisition best practices including CV screening, candidate engagement, scheduling assessments with candidates, interviewing, onboarding.
  • Ability to identify data discrepancies and rectify problems requiring attention.
  • Expertise in outreach and sourcing talent.
  • Experience using LinkedIn and job boards to source candidates.

Languages: Fluency in both written and oral communication in Portuguese and English languages.

KEY ACCOUNTABILITIES (not all-inclusive)

1. Develop attractive vacancy announcements, using advanced technologies to ensure our vacancies speak to our target candidates, including underrepresented groups. 2. Respond to queries and escalate where appropriate, in order to provide a timely and accurate service to clients. 3. Support in the administration of test assessments, inviting candidates for interviews, preparing interview packs, and scheduling interviews. 4. Facilitate contracting process of new recruited staff, reference checks and verification of academic certificates, medical clearances, and anti-terrorism. 5. Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function. 6. Support in talent searches and engage and attract suitable talents for relevant vacancies. 7. Successfully communicate with candidates throughout the recruitment process. 8. Extract and compile HR data on staff recruitment and selection, contractual conditions, entitlements to support analysis and reporting needs. 9. Support in the facilitation of national staff separation clearances. 10. Support in the onboarding of new staff reporting – welcome note and preparation the biography. 11. Work with a variety of individuals, taking on feedback where appropriate to assist in business support delivery for staff. 12. Perform other related tasks as required.
