BACKGROUND AND PURPOSE OF THE ASSIGNMENT:

To ensure the implementation of standard administrative processes and activities to enable effective delivery of services. The Business Support Assistant will work in Mersin and reporting to Administration Officer in Mersin.

STRATEGIC OBJECTIVE/ACTIVITY:

To implement well-defined standard administrative processes and activities to enable effective delivery of services for all WFP staff in the office.

KEY ACCOUNTABILITIES (not all-inclusive)

This post is based in Mersin and follow under the direct supervision of Head of Administration, Mersin Office. • Check the provision of a range of services, including facilities and light vehicle management, asset management, travel, protocol related, etc., to contribute to the provision of a safe and comfortable working environment. • Collate and process information including dissemination to support the production of standard documents and reports for the office, to enable decision-making and the effective management of resources. • Manage and maintain paper and electronic records within the area of responsibility in accordance with established procedures, to ensure swift and easy data access as required. • Undertake research and perform basic analyses of data, to contribute to the provision of accurate information and effective management of resources. • Be a first point of contact for internal queries, to facilitate the provision of efficient and effective resolution of daily issues. • Provide inputs to routine methods and practices in own area of work, to support the continuous improvement of services provided. • Gather information with clear direction to support the drafting of documents and preparing reports by other staff. • Respond to queries and escalate where appropriate, to provide a timely and accurate service to clients. • Support processing and managing routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources. • Be a first point of contact for internal queries, to facilitate the provision of efficient and effective resolution of daily issues.

• Perform any other duties incidental to the above, as required.

EXPERIENCE REQUIRED:

• 4 years of work experience in the fields of business administrative.

• Experience in maintaining corporate systems and running queries on office administrative activities from operational and accounting point of view.

• Experience in administering third party service providers’ and accounts receivable.

• Experience in using ERP (SAP MM - External Services Management Module).

• Experience in financial planning, budgeting for office admirative and reporting.

• Experience in working in the humanitarian/non-profit field.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable. Experience: In office administration Knowledge & Skills: Knowledge of working in computer, Excel sheet, PowerPoints Languages: Fluency (level C) in oral and written communication in English. Knowledge of Turkish and/or Arabic is an asset.
