ORGANIZATIONAL CONTEXT

The United Nations World Food Programme is the world's largest humanitarian agency fighting hunger worldwide. The mission of WFP is to help the world achieve Zero Hunger in our lifetimes. Every day, WFP works worldwide to ensure that no child goes to bed hungry and that the poorest and most vulnerable, particularly women and children, can access the nutritious food they need. WFP provides life-saving assistance to more than 850,000 Rohingya refugees and over 300,000 most vulnerable households in the local communities. WFP implements a range of programmes including integrated food and nutrition assistance, school feeding activities, emergency preparedness, and tailored livelihoods programme to support the most vulnerable population.

JOB PURPOSE

The Business Support Assistant will report to the respective Head of Unit and will assist to conduct a variety of supply chain or CBT or livelihhod tasks such as coordinating requests from external and internal stakeholders. The job holder will support the collection and preparation of relevant documentation for submission to senior management and assist in invoice processing. The incumbent will also perform data entry and processing tasks in WFP’s Corporate Systems.

KEY ACCOUNTABILITIES (not all-inclusive)

Under the overall guidance and supervision of the Head of Unit, the incumbent will be responsible for the following duties: 1. Assist in processing and management of routine administrative and financial tasks to contribute to the effective and timely management of resources such as raising Purchase Requisition, Micro Purchase Orders, monthly cash forecast invoices, etc. 2. Support processing and managing invoice for Supply Chain (mainly CBT-Retail , Engineering Support unit, Livelihhod Unit) including invoice reception, registration, analysis, submission to Finance Unit, safekeeping of all supporting documents in hard or in the soft copy where and as applicable. 3. Process data entry requests in WFP’s Corporate System received from the field and coordinate with stakeholders in case of discrepancies. 4. Organize and maintain paper and electronic records within the area of responsibility in accordance with established procedures, to ensure swift and easy data access as required. Enter accurate data in the corporate systems within the established deadlines and be the first point of contact for internal actions. 5. Provide analysis on status tracking, e.g. open Purchase Orders, Funds, Grant balances, progress reporting, and refer to the supervisor discrepancies, to support maximum fund utilization and decision-making process. 6. Take responsibility for the maintenance of set standard systems and files such as reports, documents, and correspondence to ensure information is accurate and readily available for the function. 7. Draft correspondence and maintain communication with a few individuals regarding project management matters and related processes to clarify any discrepancies and optimise the use of resources. 8. Schedule meetings and prepare, collate, and route documents in preparation of meetings and for approvals or releases. 9. Perform administrative procurement activities in a timely and efficient manner, to support Professional staff in the acquisition of goods and services for efficient field operations. 10. Review, record, and prioritise purchasing requests, ensuring all supporting documentation is received, and funding is available, to enable the procurement of goods and services. 11. Respond to queries and escalate where appropriate, to provide timely and accurate service to external and internal stakeholders. 12. Perform other related duties as required.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of university degree ( bachelor’s or master’s ) in the field of Supply Chain Management, Business Administration, Procurement, Finance, Accounting, or other related areas. A Post-graduation diploma in Supply Chain Management will be preferred.

Experience: Three or more years of progressively responsible work experience where one year in the relative business stream with experience in :

  • General administrative work
  • Data Entry in the standard corporate system
  • Raising Purchase Requisition, Purchase order, Micro Purchase Orders, monthly cash forecast invoices.
  • Experience working in Business Administration or Supply Chain Management or Cash-Based Transfers or Livelihood or any other progarmme will be considered as an asset.

Language

  • Proficiency in written and oral/communications skills in both English and Bangla.
  • Fluency in oral Chittagonian/Rohingyan dialect is desirable.

Knowledge and skills

  • Proficient in the use of office equipment and computer software packages, such as Microsoft Word
  • Knowledge of work routines and methods to complete processes under minimal supervision
  • Uses tact and courtesy to give and receive information to a wide range of individuals
  • Ability to identify data discrepancies and rectify problems requiring attention.

OTHER SPECIFIC JOB REQUIREMENTS

The candidate must have the motivation to work in the field/camps. The incumbent needs to frequently visit the camps/field. Strong preference will be given to those who can prove they can operate in a fast-paced environment with limited resources. The ideal candidate will be detailed-oriented, determined, proactive, client-oriented with a strong spirit for teamwork.

TERMS AND CONDITIONS

Contract Type : Service Contract

Contract Duration : 6 Months (with possibility of extension)

Duty Station : Cox’s Bazar, Bangladesh

Nationality : Bangladeshi only

Monthly Salary : BDT 85,766

No of post : Four (4) (Two for Supply Chain, One for CBT & One for Livehood Unit)
