Brief description of WFP in Uganda

WFP delivers food assistance in emergencies and work with communities to improve nutrition and build resilience. WFP provides life-saving food assistance and livelihood opportunities to refugees in Uganda. In addition, WFP assists the most vulnerable people in Uganda with food and nutrition assistance. Finally, WFP works with smallholder farmers and links them to markets.

As Uganda strives to achieve Zero Hunger by 2030 and become a middle-income country by 2040, WFP is also assessing its relevance and repositioning its role in Uganda.

ARE YOU UP TO THE CHALLENGE?

We are seeking a qualified individual for the position of Business Support Assistant(Logistics) SC 4 to be based in Nyumanzi. Selected candidates will be employed on Service Contract.

ORGANIZATIONAL CONTEXT

These jobs are found in WFP warehouses. Job holders report to the Warehouse Management Assistant/Associate or the designate. Job holders are exposed to all phases of the warehouse operations and work with minimum supervision. They may provide supervision and on-the-job training to other warehouse staff.

JOB PURPOSE

To handle transport planning, receipt/dispatch of food in LESS, mitigate losses, maintain safety and quality of food under storage and supervise warehouse activities in compliance with WFP warehouse operating procedures/established guidelines and participate in Market facilitation.

KEY ACCOUNTABILITIES 1/2(not all-inclusive)

• Provide support to day-to-day logistics operations and activities, following standard processes and facilitating, directly or indirectly, the effective delivery of food assistance to beneficiaries. • Support timely ordering and delivery of commodities and supplies to authorized EDPs, partners, and destinations. • Create Sales orders, STO’s, OBD’s and Work orders in LESS/WINGS for logistics operations/services (transportation, warehouse labour, Fumigation/inspection, etc…). • Support management of logistics service providers including performance monitoring and measurement. • Coordinate with the transporters, on receiving/dispatching of food at WFP and FDP/CP’s warehouses • Respond to a variety of technical queries/requests for support, following standard processes, and obtaining guidance as required, to ensure timely and accurate resolution of all enquiries with a high standard of client service mind-set. • Processing all logistics related invoices, and follow-up with finance on payments status. • Contribute to budget preparation, monitoring and revision for all delivery modalities, ensuring adherence to relevant procedures and in compliance with corporate standards. • Assist in monitoring inventory management processes to track trends and account for the inventory status from source to beneficiary. • Support operational pipeline analyses, assessments and operational planning for all delivery modalities namely in-kind, cash on wheels, agent banking.

STANDARD MINIMUM QUALIFICATIONS

University Degree in Logistics and Transport, Statistics, Economics, Supplies Management, Business Administration, Procurement or other related field from a recognized university with a minimum of 3 years professional experience.

OTHER SPECIFIC JOB REQUIREMENTS

• Good knowledge of computer skills is desirable, this includes maintaining a logistics database, running queries on ongoing shipments, pipeline information, inventory management, budget monitoring & reporting etc. • Ability to work in a multi-cultural environment. • Exposure to humanitarian and emergency situations is desirable. • Ability to communicate in English clearly both orally and in writing.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

• Experience using logistics databases to extract routine reports. • Experience in managing warehouses with food and NFIs. • Experience in managing inventories. • Experience in processing invoices.
