Position Title: Business Support Assistant - Human Resources Contract Type: Special Service Agreement 4 Number of Position: 1 Contract Duration: 3 Months Duty Station: Colombo Nationality: Sri Lankan only Remuneration: Attractive remuneration package following UN policy including salary and medical insurance

JOB PURPOSE

To deliver standard business support processes for a specific professional area of work, to facilitate effective service delivery.

KEY ACCOUNTABILITIES (not all-inclusive)

1. Provide administrative support to the HR unit in arranging meetings, interviews, test arrangements, booking venues, and other logistics arrangements.

2. Assist HR team in new joiners joining formalities, collecting documents, initial briefings etc

3. Help with collecting candidate's documents, reference checks etc

4. Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function.

5. Take responsibility for data integrity to facilitate the availability of accurate information (eg.- UNDSS data list, Warden List, HR list for MOFA etc).

6. Actively support in creating an effective sourcing database, prepare a list of different sourcing channels and decimate information among them when necessary

7. Assist the team in organing Induction Programme for the new joiners

8. Re-structure the personnel file folders (shared folder), organize existing files in a logical order, regularly scan hard copy files, digitalize and store properly.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education (Advanced Diploma in Business Administration/HR is desirable)

Experience: Three or more years of experience in the relative business stream with experience in general administrative work.

Knowledge & Skills: Proficient in the use of office equipment and computer software packages, such as Microsoft Word. Knowledge of work routines and methods in order to complete processes under minimal supervision. Uses tact and courtesy to give and receive information to a wide range of individuals. Ability to identify data discrepancies and rectify problems requiring attention.
