JOB PURPOSE

This position will be based in WFP Provincial Office, Peshawar. The job holder will report to HR Associate. At this level, work is carried out under minimal supervision. The job holder is expected to produce organized and accurate work, undertaking specific business support activities.

KEY ACCOUNTABILITIES (not all-inclusive)

1. Gather information with clear direction to support the drafting of documents and preparing reports by other staff. 2. Respond to queries and escalate where appropriate, in order to provide a timely and accurate service to clients. 3. Support processing and managing routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources. 4. Provide revision and proofreading services for standard documents, to contribute to the development of accurate documentation. 5. Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function. 6. Identify simple discrepancies in statistics and data, such as missing information, and report to senior staff in order to support clients to deliver their work. 7. Take responsibility for data integrity to facilitate the availability of accurate information in corporate systems. 8. Provide guidance on routine business support methods and practices to junior colleagues to ensure services are delivered consistently and to the required standards. 9. Work with a variety of individuals, taking on feedback where appropriate to assist in business support delivery for staff.

Other Responsibilities

  • Maintenance of personnel and other HR files in line with the guidelines for filing appropriate documents as per checklist in both soft and hard form.
  • Prepare and record certificates including Job experience, Banking Instructions, Tax Exemption, etc. for staff members where applicable and obtain signatures from HR Officer.
  • Act as a focal person for attendance of staff members in the Area Office as well as field-based staff for timely payroll actions.
  • Maintaining a list of UNLP holders in the Peshawar Office, keeping records (issuance/receiving).
  • Act as focal person for processing and record keeping of R&R requests, updating R&R record sheet and coordinating the same with HR Associate for processing of Danger Pay in WINGS for International Staff where and when required.
  • Respond to staff queries and seek supervisor advice (where appropriate) in order to provide timely, accurate feedback to staff.
  • Assist HR Associate in Peshawar Office and Country Office colleagues with all recruitment-related activities including scheduling of written Assessments & Interviews.
  • Any other task assigned by the Supervisor at the corresponding level

STANDARD MINIMUM QUALIFICATIONS

Education:

First-level university degree in a relevant field preferably in HR, Management, or a closely related field.

Language:

Fluency (level C) in English and Urdu language.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

Four or more years of progressively responsible work experience in the relative business stream with experience in general administrative work, preferably at least 2-3 years in HR.

Proficient in the use of office equipment and computer software packages, such as Microsoft Word.

Knowledge of work routines and methods in order to complete processes under minimal supervision.

Uses tact and courtesy to give and receive information to a wide range of individuals.

Ability to identify data discrepancies and rectify problems requiring attention
