Job Purpose:
To deliver a wide range of business support to the professional area of work and to facilitate effective service delivery.
KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):
Under the direct supervision of head of field office, the Business Support Assistant will be responsible for the following duties:
- Adapt and update business support processes, to contribute to the continuous improvement of administrative services.
- Check the provision of range of services, including facilities and light vehicle management, travel, support protocol related services, maintaining information, and contribute to the provision of accurate information for informative decision-making and support the effective and timely management of WFP resources.
- Support the production of various data and compile and prepare reports to contribute to the provision of a safe and comfortable working environment.
- Contribute to planning, monitoring, and processing administrative actions related to travel, processed in WFP corporate systems and any operational issues addressed.
- Coordinate the activities of a team of staff working in the area, to ensure individual and team objectives are met in compliance with all relevant regulations, polices, and procedures and performance plan.
- Perform other related duties as assigned from time to time.
KNOWLEDGE AND SKILLS
- Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
- Knowledge of work routines and methods to complete processes under minimal supervision.
- Uses tact and courtesy to give and receive information to a wide range of individuals.
- Ability to identify data discrepancies and rectify problems requiring attention.
- Ability to offer guidance or basic on-the-job training to more junior staff.
- Good working knowledge of Microsoft software applications particularly MS-Office (Word, Excel, Power points, graphic and Access)
WORK EXPERIENCE: Minimum of four (4) years of work experience.
STANDARD MINIMUM ACADEMIC QUALIFICATIONS:
Education: Completion of secondary school education. A post-secondary certificate in the
related functional area is desirable.
Language: Fluency in both oral and written English.
