Job Title: Business Support Assistant

Duration: 11 months (with possible extension)

Post Grade: SSA 5

Duty Station: Accra, Ghana

BACKGROUND AND PURPOSE OF THE ASSIGNMENT****:

The World Food Programme (WFP) is the world’s largest humanitarian organization, saving lives in emergencies, using food to build pathways to peace, stability and prosperity for people recovering from conflict, disasters and the impact of climate change, as well as helping individuals and communities find life-changing solutions to the multiple challenges they face in building better futures.

WFP’s role in Ghana is predominantly that of an enabler supporting efforts to achieve Zero Hunger, consistent with the vision of self-reliance of the Government of Ghana, while maintaining a minor humanitarian footprint to 1) assist the government’s emergency response activities and 2) pilot development initiatives where learnings assist in strengthening policy formulation and social cohesion.

The Business Support Associate will perform/coordinate a range of business support (Human Resources/Administrative) tasks to support accurate implementation of WFP policies and procedures and facilitate the effective functioning of a client focused and strategy-oriented HR services and to ensure that services are delivered effectively.

KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):

Under the overall supervision of the Country Director/Representative and direct supervision of the Head of Human Resources Officer in Accra, the Business Support Assistant will be expected to perform the following duties:

1. Provide dedicated Human Resources/Administrative support in various HR activities

2. Maintaining confidential personnel records, HR databases and archives, to ensure data and files are accurately stored and updated in compliance with the established standards.

3. Support in on-boarding of new staff members in compliance with relevant processes and procedures.

4. Use WFP’s HR management systems for entering and updating a variety of HR data including assistance in monitoring various deadlines (e.g. contract expiration, PACE, etc.), ensuring compliance with the established deadlines and accuracy of HR data.

5. Manage and maintain records and databases, to ensure information is organized and readily available for staff.

6. Contribute to improvement of business procedures and processes.

7. Coordinate and provide a full range of support services including follow-up actions, resolution of issues and unforeseen situations, for the effective functioning of business operations.

8. Prepare and/or consolidate comprehensive reports, documentation, correspondence, briefing notes, etc.

9. Co-ordinate and oversee the maintenance of records and databases, to ensure information is well organized and readily available for staff.

10. Any other related duties when needed/required.

Minimum Academic Qualifications

Education:

Completion of secondary school education. A post-secondary certificate in the related functional area is desirable. A minimum of first degree in Social Sciences, Human Resources, Administration, Public Relations, or any other related qualification.

Desired Experiences for entry into the role:

A minimum of 3 years of progressive work experience in supporting role in Human Resources, Administration, or Operations.

Demonstrate responsibility, proactiveness and initiative to respond and/or act independently under minimal supervision and general guidance. Ability to think on the spot and use judgment in dealing with unforeseen daily operational challenges.

  • Some knowledge of the application of common business processes, practical business support methods, procedures and systems used in area of work, gained through technical training and work experience.
  • Good communication skills to provide business support services to a wide range of individuals.
  • Ability to build relationships with a variety of individuals across functions.
  • Experience in coordinating the work of others and self, training and supporting others.
  • Ability to maintain confidentiality.

Language: Fluency and good command of the English language is essential.
