  • Three or more years of progressively responsible work experience in administrative roles.
  • Proficiency in oral and written communication in Somali and English is a requirement.
  • Knowledge and experience of common business processes, procedures and systems in Administrative work.
  • Ability to identify data discrepancies and rectify problems.
  • Ability to offer guidance or basic on-the-job training to more junior staff.
  • Experience in utilizing office equipment and computers, including word processing and spreadsheets.

Duties and Responsibilities:

WFP operates an Area Office in Garowe to support the implementation of WFP projects and activities in the Puntland region. The incumbent is expected to deliver standard administrative business support processes to facilitate effective service delivery.

  1. Prepare and consolidate comprehensive reports, documentations, correspondence; gather information with clear direction to support the drafting of documents and preparing reports by other staff.
  2. Respond to queries and escalate where appropriate, in order to provide timely and accurate service to clients.
  3. Support processing and managing routine administrative tasks, including the processing of travel authorization, travel expense claims, and danger pay entitlements.
  4. Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function.
  5. Identify simple discrepancies in statistics and data, such as missing information, and report to senior staff in order to support clients to deliver their work.
  6. Take responsibility for data integrity to facilitate the availability of accurate information in corporate systems.
  7. Provide guidance on routine business support methods and practices to junior colleagues to ensure services are delivered consistently and to the required standards.
  8. Work with a variety of individuals, taking on feedback where appropriate to assist in business support delivery for staff.
  9. Create purchase requests, goods receipt notes (GRN), and service entry sheets (SES) in the WFP corporate systems; maintain tracking reports on recurrent services.
  10. Perform any other duties as may be assigned.

Deliverables:

  1. Timely processing of administrative transactions using corporate tools.
  2. Timely and accurate processing of Travel Authorizations and Travel Expense Claims for the Area Office staff as well as Danger Pay for International personnel.
  3. High-quality personal assistance and administrative support to Head of Office.

Minimum Qualifications:

Education: Completion of secondary school education. A post-secondary certificate in administration or related functional area is desirable.

Experience: Three or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.

Language: Proficiency in oral and written communication in Somali and English is a requirement.

Knowledge & Skills:

  • Knowledge and experience of common business processes, procedures and systems in Administrative work;
  • Knowledge in work routines and methods in order to complete processes under minimal supervision.
  • Uses tact and courtesy to give and receive information to a wide range of individuals.
  • Ability to identify data discrepancies and rectify problems requiring attention.
  • Ability to offer guidance or basic on-the-job training to more junior staff.
  • Experience in utilizing office equipment and computers, including word processing, spreadsheet and other software packages. Knowledge of UN/WFP administrative regulations and rules in the area of work is an added advantage.
