What will you do?

  • Maintain staff attendance register and prepare consolidated reports for submission to the HR Country Office every month.
  • Maintain staff members' leave (annual, sick, maternity & paternity) records as well as compensatory time off and prepare leave balances every month.
  • Custodian of staff personnel files and ensure all essential documents are filed. The staff files are confidential.
  • Monitor staff members’ employment contract expiration using tracking sheets.
  • Prepare quarterly/bi-annual leave plans in consultation with staff members.
  • Ensure all essential HR documents are completed and submitted to the HR Country Office.
  • Conduct briefing to new staff on HR policies and procedures.
  • Coordinate medical examinations and ensure enrolment of dependants to the WFP medical scheme.
  • Prepare outgoing pouch and ensure that it is properly referenced using the pouch log sheet.
  • UNHAS booking for staff members and cargo to various locations.
  • Create accurate travel documents and ensure they are approved before staff travel.
  • Monitor guest house purchase requests and prepare cash requests using cash disbursement forms to facilitate the purchases.
  • Log in all incoming mail and ensure staff members sign for their mail.

Do you meet the minimum requirements?

  • Completion of secondary school education. A post-secondary certificate in HR, Administration or other related functional area is desirable
  • Three years or more of progressively responsible work experience in Human Resource, Administration, Public information or related field.
  • Proficiency in both oral and written communication in English and Somali is a requirement.

Are you competent for this job? Do you have

  • Ability to work independently with minimum supervision.
  • Good writing and presentation skills.
  • Experience using Microsoft MS Word and Excel.
