Job Title: Business Support Assistant Vacancy Number: 156132 Post Grade: G4 Contract Type: Fixed Term Duration: 1 Year, renewable Duty Station: Bangkok, Thailand Section/Unit: Programme/RBB

KEY ACCOUNTABILITIES

Within delegated authority, the Business Support Assistant will be responsible for the following duties:

  • To be the main focal point for Programme Unit travel. Organize tickets, visas, accommodations for all Programme staff, initiate and prepare trip documents and settle all travel expense claims.
  • Organize meetings and workshops including arrange suitable meeting venue, liaison with the hotel and provide administrative assistance required for the workshop arrangements e.g. prepare budget estimation, administrative note, invitation letters, down payment request, and meeting/workshop summary.
  • Update and maintain unit’s mission and leave plan, attendance and leave records of Programme staff, tracking of expenditures and inventory lists.
  • Initiate purchase requisitions and micro purchase order for goods and services ensuring correct objects of expenditure, availability of funds and completion of works.
  • Support and provide guidance to staff on office routine methods, procedures and practices especially on travel, financial and administrative issues as well other planning support ensure smooth running of the unit.
  • Support in preparing necessary documents and submit hiring request to HR. Keep tracking of hiring request until completion of works.

QUALIFICATIONS

Education:

  • Secondary school education preferably supplemented by a university degree

Experience:

  • At least four years of progressively responsible experience in the filed of secretarial, administration, travel or any related fields.

Knowledge and Skills:

  • Proficient in the use of office equipment and computer software packages such as Microsoft Word, Excel and Power Point.
  • Knowledge of work routines and methods in order to complete processes.
  • Capable of working with team of people from different cultures and backgrounds.
  • Ability to work independently with strong problem-solving skills with attention on quality and details.
  • Strong prioritization, time management, organizational skills and able to work under pressures as required.

Desirables:

  • Experience working with a UN or another international organization is preferred. Budget planning vs expenditures tracking is ideal.

Language:

  • Fluent and accuracy in both oral and written communication in English and Thai
