ORGANIZATIONAL CONTEXT

The Business Support Assistant (Finance) will be reporting to the Finance Associate.

JOB PURPOSE

To deliver standard business support processes for a specific professional area of work, to facilitate effective service delivery.

KEY ACCOUNTABILITIES (not all-inclusive)

Within delegated authority, the Business Support Assistant (Finance) will be responsible for the following duties:

• Input and extract data from various source supporting documents in financial or accounting systems; • Maintain a selected number of administrative/ finance records such as commitments and expenditures, travel, insurance, procurement and other; • Initiate and process administrative/ finance actions such as those in human resources, travel, procurement, disbursement (e.g. obtain payment inquiries and reconcile supplier vendor accounts as necessary); • Assists in monitoring status of expenditures and allotments through WFP corporate systems, record variations, update budget tables and consolidate data for budget review; • Make computations, calculations, and estimates and prepare reports or assists in the preparation of periodic reports including forms, tables, charts and other; • Draft correspondence relating to the area of responsibility; • Assists in day to day administration of contracts with external contractors; check contractor’s invoices against the goods and services provided and process payments; • Provide information related to the above functions and exchange a variety of statistical information; • Search for, retrieve, compile, assemble and archive a variety of statistical data from computer files, records, reports or from other sources for internal/external use and provide basic analyses of the data requested; • Arrange meetings such as workshops and seminars; • Make travel arrangements in line with the administrative rules and procedures;

• Set-up, classify and maintain files; and • Perform other related duties as required.

STANDARD MINIMUM QUALIFICATIONS

• Education: College graduate with Bachelor’s degree in Accountancy or supplemented by courses relate to the area of work. • Experience: At least four years of progressively responsible clerical work experience in general administrative work including at least one year in the field of finance, accounting, budget, audit or other related field. • Knowledge: Experienced in utilizing computers, including word processing, spreadsheet, databases and any financial system (SAP preferable). General knowledge of accountant/financial procedures and guidelines as well as moderate knowledge on Internal Control mechanisms in an organization. • Language: Ability to communicate (written and oral) fluently in English. Must be able to communicate in Filipino, and any other Philippine local languages.

Ability to perform detailed work, work of confidential in nature and/or to handle large volume of work possibly under time contraints. Ability to deal patiently and tactfully with people of different national and cultural backgrounds.
