ORGANIZATIONAL CONTEXT

These jobs are found in Country Offices (COs), Regional Bureaux (RBs), and Headquarters (HQ). Job holders typically provide administrative support to team(s) and/or support a specific business stream, and report to the relevant Associate. At this level, work is carried out under close supervision or immediately available assistance. Job holders are expected to produce organised and accurate work.

JOB PURPOSE: To deliver a range of routine business support tasks, to ensure that staff are effectively supported.

KEY ACCOUNTABILITIES/ RESPONSIBILITIES:

  • Maintain and follow through the work of the Office facility maintenance team related to cleaning, laundry, gardening, and maintenance of office facilities
  • Ensure the maintenance of the office seating arrangements plan and the office inventory.
  • Ensure and maintain files in hardcopy and electronic filing of all supporting documentation.
  • Ensure the maintenance of the records of cleaning schedules of the cleaning personnel.
  • Maintains, tracking, coding, and updating office facility assets and inventories
  • Assist in managing the office space and timely rent recoveries from the residents of other
  • Assist in managing the inventory items to meet the needs of staff and other office guests.
  • Assist in acquisition plans, and receive and inspect items required for the office accommodation.
  • Monitor and advise the management on required maintenance, replacements, or repairs of the office facilities
  • Prepare monthly reports, including the recommendation for improvement of office premises.
  • Perform other related duties as required from Time to time.

QUALIFICATIONS & EXPERIENCE REQUIRED:

Education:

  • Completion of secondary school education. A certificate in the related functional area with additional years of related work experience and/or trainings/courses.

    Experience:

  • Three or more years of experience in general administrative work.

    Technical Knowledge & Skills:

  • Ability to use standard office equipment such as photocopiers and scanners.

    • Knowledge of standardized business support work routines and methods.

    • Knowledge of standard office software packages, e.g. Microsoft word.

    • Uses tact and courtesy to give and receive information with a variety of individuals.

    • Good attention to detail in order to identify data discrepancies.

    • Ability to work to deadlines and follow clear instructions.

    Languages:

  • Fluency in both oral and written communication in the UN language in use at the duty station and in the duty station’s language, if different.
