JOB PURPOSE

To deliver a wide range of business support processes and activities for a specific professional area of work, to facilitate effective service delivery.

KEY ACCOUNTABILITIES (not all-inclusive)

Under the overall supervision of the Head of Office and direct supervision of the Programme Policy Officer - (Monitoring & Evaluation), the Business Support Assistant - (Community Feedback Mechanism) will perform the following duties:

1. Support the design of project accountability frameworks.

2. During distributions, ensure through a systematic way, that a help desk/information table is established for the community members to respond to beneficiary comments/questions.

3. Ensure proper entry of the complaints into the WFP Complaints database.

4. Prepare Bi-weekly reports showing the various categories of complaints and the status of the complaints.

5. Ensure key information reaches beneficiaries using several methods (leaflets, orientation, help desk, WhatsApp, calls etc.)

6. Work with the rest of the Response Team to ensure WFP accountability standards are included in staff orientation sessions, with a particular focus on Programme and Operational staff, and all staff members from partner organizations.

7. Plan and conduct community training sessions or relevant staff members (both WFP and partner organizations) to support and ensure equality implementation of accountability mechanisms and information provision plans.

8. Any other related duties.

STANDARD MINIMUM QUALIFICATIONS

  • Education: Completion of secondary school education (12 years of schooling - O'level). A post-secondary certificate in a related functional area is desirable.
  • Experience: Five or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.
  • Language: Fluency in both oral and written English and Siswati language.

OTHER SPECIFIC JOB REQUIREMENTS

  • Knowledge of specialised common business practices and methods, gained through relevant technical training and experience.
  • Ability to develop and maintain relationships with a range of individuals in order to provide a high-quality support service.
  • Ability to carry out basic data analysis and independently rectify problems requiring attention.
  • Ability to monitor and record financial transactions.
  • Good communication skills required to give and receive information and work with a variety of individuals.
  • Ability to maintain confidentiality

RENUMERATION

Monthly salary range: SZL16,462 - SZL23,048
