ORGANIZATIONAL CONTEXT AND ROLE

Based in Khorog, Tajikistan and reporting to Head of Khorog Field Office, under the overall guidance of WFP Country Office Supply Chain and Administration Units.

KEY ACCOUNTABILITIES (not all-inclusive)

1. Support receipt/dispatch commodities including transshipment (truck to truck) against official approved documentation (e.g. waybills and/or delivery notes) ensuring accuracy in physical count of commodities including the quality in compliance with the established standards; 2. Prepare and verify warehouse and transport documents, and maintain confidential files and accurate warehouse transaction records, to ensure immediate reporting on commodity movements in line with the corporate requirements; 3. Support daily warehouse closing reconciliation and accurate inventory checks in compliance with the warehouse management requirements; 4. Perform daily inspections and prepare reports on the quantity and quality of the commodities received/dispatched and handled and refer to the supervisor for appropriate action; 5. Support implementation of appropriate measures to safeguard food and non-food commodities to ensure quality control using standard preventive measures in line with WFP established procedures and authorization received from the supervisor; 6. Monitor condition of the warehouse and commodities and take appropriate actions to support efficient warehouse space-utilization and well-organized commodity storage following WFP warehouse standards; 7. Oversee cars operation including booking arrangements, cars service and maintenance, fuel expenditures, entering required information in the FLEET system accurately and on timely manner; 8. Support the inventory management process, including entering required information on assets in GEMS system; 9. Handle office arrangements, including stationary, equipment, furniture for the office delivery; 10. Managing the garage and whare house operations, including their conditions and rent payment; 11. Arrange trips including cars allocation, receipt of GBAO permission; 12. Filing system development, including incoming and outgoing communication; 13. Development and submission of administrative reports accurately and on timely manner; 14. Other duties related to supply chain, finance and administration assigned.

DESIRED KNOWLEDGE AND SKILLS

  • Proficient in the use of office equipment and computer software packages
  • Knowledge of work routines and methods in order to complete processes under minimal supervision.
  • Uses tact and courtesy to give and receive information to a wide range of individuals.
  • Ability to identify data discrepancies and rectify problems requiring attention

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education.

Experience:

  • Four or more years of progressively responsible work experience in the relative business stream with experience in logistics and general administrative work.

Language: Fluency in English and Tajik or Russian languages.

Contract Type: Service Contract

Contract Duration: 12 months with possible extension

Duty Station: Khorog, Tajikistan
