ORGANIZATIONAL CONTEXT

The overall objective of WFP in Mozambique is to support the government in achieving Sustainable Development Goal2 (SDG2). WFP's 2GCSP, in line with national development priorities, aims to support long-term recovery and building resilience to address the underlying causes of food insecurity and malnutrition in Mozambique.

As the operations and activities continue on rising in the Tete Field Office, additional staff is also being recruited (now it has 39 staff members), in this regard to adequately support the Field Office operations (Administration and HR) and the different programme activities, the services of Business Support is critical to provide this support to ensure that the process complied with the organization's policies and procedures and to allow the timely implementation of activities and business.

JOB PURPOSE

To deliver standard business support processes for a specific professional area of work, to facilitate effective service delivery.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A post-secondary certificate/ university degree in Human Resources, Psychology, Business Administration, or related field is a plus. Experience: Two (2) or more years of progressively responsible work experience in the relative business stream with experience in general administrative work and human resource operations.

Knowledge & Skills:

  • Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
  • Knowledge of work routines and methods in order to complete processes under minimal supervision.
  • Good understanding of key HR principles and talent acquisition best practices including CV screening, candidate engagement, scheduling assessments with candidates, interviewing, onboarding.
  • Ability to identify data discrepancies and rectify problems requiring attention.
  • Expertise in outreach and sourcing talent.
  • Experience using LinkedIn and job boards to source candidates.

Languages: Fluency in both written and oral communication in Portuguese and English languages.

KEY ACCOUNTABILITIES (not all-inclusive)

Under the direct supervision of the Head of the Field Ofice and support from Human Resources Unit and Administration Associate, the incumbent shall:

1. Acting as the first point of contact for the Head of the Field Office.

2. Manage diary and schedule meetings and appointments.

3. Collect, sort and disseminate correspondence, reports and other material to meet the required demands of staff to time standards.

4. Respond to routine queries received and escalate where appropriate, to provide a timely and accurate service to clients.

5. Take responsibility for the maintenance of set standard systems and files. to ensure information is accurate and readily available for the function.

6. Meet visitors and direct them to the respective room and/or staff member accordingly.

7. Support the administration unit service provider (vendor) has valid vendors.

8. Support on implementation of procurement procedures and of creation of MPOs and PR according to the policies.

9. Develop attractive vacancy announcements, using advanced Tecnologies to ensure vacancies reach target candidates, including underrepresented groups.

10. Support in the administration of test assessment, inviting candidates for interviews, preparing interviews packs, and scheduling interviews.

11. Facilitate the contracting process of newly recruited staff. reference checks and verification of academic certificates, medical clearances, and anti-terrorism.

12. Support talent searchers and engage and attract suitable talents for relevant vacancies.

13. Support in the onboarding of new staff reporting - welcome note and preparation of Biography.

14. Provide support on benefits and entitlement (contract extension, contract elaboration, monitoring of annual leave and the facilitation of national staff on separation clearances).

15. Perform other related tasks as required.
