You have:
- Relevant vocational training or a bachelor’s degree or equivalent in business administration, project management, process management, data sciences or another relevant field.
- A minimum of one year of relevant experience in the field of coordinating and monitoring business processes.
- Experience of working in a team and in a multinational environment.
- Experience in budget management and identifying and implementing process improvements.
- Experience in preparing communication for wide audiences of various levels.
- Advanced knowledge of the MS Office suite (Word, Excel, PowerPoint, Outlook, SharePoint, Microsoft Teams, Planner), Open Text and programmes for planning/projects, budgeting and travel arrangements.
- A track record in organising and facilitating virtual, hybrid and on-site meetings using appropriate tools.
- An advanced (C1) command of English and an intermediate (B1) command of at least one other official language of the EU.
- A sound understanding of stakeholder management, including planning and reporting on tasks, projects and events.
- Experience in dealing with sensitive information in a discreet manner.
- The ability to handle numerous requests in a responsible and proactive manner.

Your team You will be part of the Budgeting and Controlling Division in the Directorate Finance. Our Division comprises around 40 staff organised in five teams and is responsible for the planning, monitoring and controlling of resources for all business areas of the ECB. We specialise in providing decision-making analysis and offering comprehensive support and advice to the ECB’s executive leadership, business area management and stakeholders. We also deliver secretariat services to three committees and oversee the supervisory fee framework. Additional tasks include implementing systems innovation in the Directorate Finance and providing functional support for the ECB’s procure-to-pay process.
We are currently seeking to fill one position for a Business Process Administrator.
In your role as Business Process Administrator, you will play a key role in the management office of our Division, offering support across the entire team. Your responsibilities will include collaborating closely with the secretariats of three committees – two Eurosystem committees and one ECB internal committee – to organise and facilitate high-level meetings and conferences. You will also manage processes, documentation and access rights for the Division and our user group across various systems, ensuring quality checks and an appropriate level of access to confidential information. You will also play an active role in our ongoing initiatives to simplify, digitalise and automate processes, while contributing to effective communication and information sharing within the Division.

Your role As a Business Process Administrator you will:
- support the three committee secretariats in the organisation and facilitation of meetings and events; - manage workflows in the ECB’s document management system (OpenText/DARWIN) and master all related technological aspects; - assist in the budget management of the Division and administer process related to contract management and procurement; - support the development of digital solutions for the analysis and visualisation of performance data relating to operations and processes; - manage the hiring processes as well as administer and facilitate the induction of newcomers and trainees; - organise Division-wide meetings, trainings and social events; - provide administrative support to the Division, including travel arrangements, meetings and appointments, as well as the preparation of the related documentation.

Further information The contract offered will be fixed-term, the appointment being for 12 months as of the exact starting date of the selected person.
