The International Rescue Committee (IRC) is seeking a Budget & Planning Assistant to join the Texas Finance team. They will directly support the Budget & Planning Coordinator in budgeting duties; providing technical support in fiscal year preparation and close out; ensuring accuracy and compliance of transactions through monitoring and reporting on corrections; assist in preparing budgets, budget narratives, request for payments (RFP), and other financial reporting.

This role is part of RAI which works closely with clients, colleagues, and external parties to develop service and/or self-sufficiency plans to meet individual client needs and preferences utilizing a broad range of financial, medical, social, vocational, and other services and resources in accordance with client eligibility and program requirements.

Scope of position:

The Budgets & Planning assistant is a member of the IRC Texas Finance team .This position reports to the Budget & Planning Coordinator. The ideal candidate assumes a dynamic and multifaceted role that is integral to the financial operations of the organization. This position entails a wide array of responsibilities aimed at ensuring resource management effectiveness, strategic financial planning, and well-informed decision-making. The assistant will actively participate in budget formulation, conduct thorough scrutiny of financial data, monitor expenditure, and generate comprehensive reports. Collaborating seamlessly across departments, the assistant will facilitate the vital exchange of financial information, thereby enhancing interdepartmental communication. Furthermore, the role encompasses grant management, process enhancement, and adherence to financial regulations. Through risk assessment, support for long-term financial strategies, and upholding the confidentiality of sensitive information, the Budget & Planning Assistant assumes a pivotal role in fortifying the organization's fiscal well-being and contributing significantly to its overall achievements.

Major Responsibilities:

- Support the Budget and Planning Coordinator in monthly budget verses actual (BVA) meetings, create spending projections plans to deliver efficient and effective reports and analysis. - Provide training and support to other staff regarding standards, policies, procedures, and practices. - Support the Budget and Planning Coordinator in completing budgets, budget narratives, and budget uploads to ensure accurate and timely financial reporting. - Monitor specific grants for compliance risks; review expenses and investigate and report any questionable charges for timely corrections as necessary. - Prepare or assist with the preparation of financial and other reports required by funders and monitoring agencies during monitoring, audit visits, or as required. - Utilize financial software tools proficiently to input, process, and analyze financial data, enhancing efficiency and accuracy. - Assist the Budget and Planning Coordinator in preparing journals for budget reclassification as needed. - Participate in discussions and provide data-driven input on resource allocation strategies, cost containment, and investment decisions. - Collaborate with teams to manage grant budgets, track expenses, and ensure compliance with grant guidelines, while preparing timely and accurate reports. - Assist in facilitating seamless communication between departments, nurturing the flow of pertinent financial information and valuable insights. - Handle sensitive financial information with the utmost discretion and maintain a high standard of professionalism and ethical conduct. - Contribute actively to special financial projects and initiatives, demonstrating adaptability and problem-solving skills. - Stay updated on financial regulations, policies, and industry standards to ensure compliance and ethical financial practices. - Other duties as assigned.

Job Requirements:

- Undergraduate degree in a related field such as Accounting or Finance with the budgeting process, financial analyzing, reconciliations, and reporting experiences or equivalent work experience. - Experience in reviewing general ledger transactions and basic bookkeeping/accounting. - Solid organizational and time-management skills; proven ability to prioritize and deliver on time; Strong analytic problem-solving skills. - Proficient in Microsoft Office applications (Word, Excel, Pdf). - Ability to communicate effectively and work as a team member in a diverse, cross-cultural environment. - Ability to work independently, be a self-starter and maintain responsibility for multiple tasks. - Accuracy and attention to detail. - Fluency in English, written and spoken.

Working Environment:

This role may require working in person full-time in a standard professional office environment. Office hours are scheduled as Monday-Friday 8:30am to 4:30pm. Must be comfortable working on a computer for long periods of time.
