BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
To deliver a wide range of business support processes and activities for a specific professional area of work, to facilitate effective service delivery.
ACCOUNTABILITIES/RESPONSIBILITIES (not all inclusive):
Within the assigned unit and delegated authority, the Business Support Assistant will be responsible for the following duties:
1. Provide dedicated executive assistant support including managing front office services.
2. Collate information for inclusion in reports, documents and correspondence, to support the effective work of other staff.
3. Efficiently manage time schedules and calendars of senior staff.
4. Respond to standard queries and provide timely and accurate guidance.
5. Process and manage routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources
6. Manage and maintain records and databases, to ensure information is organised and readily available for staff.
7. Maintain relationships with a range of individuals through provision of business support to assist in information sharing and service delivery to staff.
8. Liaise and coordinate with other UN agencies, Embassies and Government offices for arrangements of meetings, conferences and other events.
9. Support WFP’s involvement in inter-agency fora such as Operations Management Team (OMT) and other working groups, including contribution to Business Operations Strategy.
7. Proof-read reports, documentation, correspondence, etc., making changes in line with established guidelines where appropriate.
8. Contribute to improvement of business procedures and processes.
9. Collect and perform basic analysis of data to contribute to quality business information management.
10. Provide guidance to junior colleagues in performing their duties.

QUALIFICATIONS & EXPERIENCE REQUIRED:
Education:
Completion of secondary school education. A bachelor’s degree in the related functional area is desirable.
Experience:
Five years of progressively responsible work experience in the relative business stream with experience in general administrative work.
Technical Knowledge & Skills:
• In-depth knowledge of common business principles and processes, practical business support methods, procedures and systems used in area of work, gained through specialised training and work experience.
• Excellent communication skills to collaborate with a wide range of individuals in order to provide comprehensive support service provision.
• Ability to analyse and interpret financial data and monitor budgets.
• Ability to carry out complex data analysis to identify process improvements.
• Experience in supervising, supporting, and/or training others, as well as coordinating resources and organising own work.
• Ability to assert opinions and persuade others by developing logical and well- reasoned arguments.
• A high sense of confidentiality.
• Knowledge of UN system and Government structure.
• Flexibility and adaptability to rapid changing environment.
Languages:
Excellent written and oral communication skills in English, and Arabic
