Key Responsibilities:

The BaSulTa Project Support Staff (BaSulTa PSS) shall primarily responsible for ensuring admin and technical needs for the day to day project operations are addressed. The PSS position is directly reporting to the Project Coordinator and is primarily based in Zamboanga City. He or she is particularly responsible to:

  • Provide necessary technical and administrative support to the Project Coordinator in the implementation of the project to help ensure project objectives are met and activities are implemented according to WV standards and guidelines
  • Participate and contributes to quality operational planning and implementation/monitoring and project reviews to meet project objectives
  • Adhere to World Vision policies and guidelines, including safeguarding, data privacy, safety and security protocols, and the WV code of conduct.
  • Demonstrate a Christ-centered life and work in working with children, families, and communities; inspires passion, participates in spiritual formation, and models high standards of spiritual maturity and integrity.

Administrative and Logistics.

  • Support the Project Coordinator in efficiently organising key project events, meetings, project schedules, field visits and the likes
  • Ensure availability and timely processing of administrative and logistical resources and services needed (venues, supplies, logistics/transport, contracts, payments for office contracts and utilities, etc.) in coordination with WVDF support departments following World Vision guidelines.
  • Ensures project office and venue is well organized, clean and well maintained.
  • Maintains an updated inventory of project supplies, equipment, and admin/logistics records which is reported regularly to the Project Coordinator and HEA Manager.

Technical Support

  • Participates, contributes, and provide support to operational planning, monitoring, and project reviews
  • Prepares and track project communications with WV partners and project stakeholders, and regularly provide updates and feedback to the project coordinator, and HEA Manager as necessary
  • Assists the Project Coordinator and/or HEA Manager in facilitating/processing partnering requirements and other admin/technical concerns
  • Assist in taking minutes of meetings
  • Maintains a system for file-keeping and monitoring/tracking of project records/documents and closely coordinates with HEA HMEAL Manager regarding monitoring, reporting and file management requirements.
  • Supports the project team in monitoring context, including security and safety concerns that have impact to the project and providing HEA management with necessary updates
  • Performs other relevant tasks as necessary

Performance management

  • Collaborates with Project Coordinator for performance planning and reviews, with documentations (performance plans and reviews) appropriately submitted.
  • Keeps oneself abreast of local developments and strictly observes WV security and safety protocols
  • Participates in corporate and team activities, including but not limited to corporate meetings/devotionals.
  • Adhere to and uphold WV policies and guidelines, including safeguarding, data privacy, safety & security protocols and WV code of conduct.
