Overview

Provide administrative support at the ASF Welcome Center in Phoenix.

You have:

  • H.S. Diploma or GED required
  • Previous experience working with non-English speakers, knowledge of asylee process preferred
  • Proficiency in written and spoken English; bilingual ability in Spanish required
  • Excellent communication skills; experience in a multi-cultural environment preferred
  • Proficient in Microsoft Office applications (Word, Excel, Outlook) and strong keyboarding skills and internet usage and research skills
  • Must have a valid driver's license, active insurance policy, access to reliable transportation and the ability to travel regularly throughout the service delivery area
  • Ability to prioritize, think on one's feet, and manage time effectively
  • Demonstrated ability to work independently and possess strong problem-solving skills
  • In accordance with Arizona State Law, must possess or be eligible to receive a fingerprint clearance card
  • Must be able to work flexible hours; including non-traditional hours, such as evenings, and weekends as needed

Job Description

Job Summary****:

The primary role of the Administrative Specialist for the Asylum Seekers and Families (ASF) Program is to provide administrative and client service support at the ASF Welcome Center in Phoenix. This position is responsible for daily interactions with Welcome Center visitors and clients, identification and mitigation of needs, and escalation of any services concerns beyond their ability to address directly. The ideal candidate ensures the Welcome Center is a welcoming space for all.

Major Responsibilities:

· Receive visitors at the front lobby by greeting, welcoming, directing and announcing them appropriately;

· Ensure all encounters with the Welcome Center are courteous and friendly;

· Answer, screen, and forward incoming phone calls;

· Receive, sort, and distribute donations and provide in-kind receipts;

· Create and distribute resources on-site;

· Coordinate transportation for clients (quarantine hotel, shuttles, etc.);

· Communicate with on-site volunteers to coordinate support for all service areas;

· Support client Intake for certain populations as needed;

· Inventory of office supplies;

· Other related duties as assigned.

Key Working Relationships:

Position Reports to: ASF Senior Coordinator Indirect Reporting: ASF Supervisors, ASF Coordinator, ASF Director Other Internal and/or external contacts:

Internal: IRC ASF programs

External: TSA, ICE and partner organizations and community entities also involved in asylum seeker services.

Working Environment:

· Regular contact with ASF clients, volunteers, and Welcome Center visitors;

· The Welcome Center is a 24-hour facility; flexible work hours, including holidays, evenings, and weekends with regular contact with ASF clients and volunteers.
