Background

The External Relations (ER) department has been created in February 2020 and is comprised of 3 main but complementary functional areas: Private fundraising, Communications and Advocacy. The ER department is at the beginning stages of creating a new radical and ambitious strategy that will improve IRC’s ability to ‘punch above its weight’ in private income, advocacy and brand awareness. The main objective of the department is to enable this organization of more than 12,000 staff to have the resources needed to continue serving 18 million people worldwide in places affected by war and disaster, shape the humanitarian sector by influencing key policies and reforms and build and grow IRC’s reputation.

IRC-UK

Our European headquarters, IRC-UK, was established in London in 1997 to support the organisation’s global activities and particularly to diversify its donor base and to better advocate with European policy-makers on behalf of the people we serve. IRC-UK comprises approximately 120 staff.

Job Overview

The Gift Processing Associate will have a particular focus on the UK gift processing operations, responsible for timely processing of donations; creating and maintaining accurate donor records; file imports/exports; quality control and donation data integrity; and maintaining department protocol development. The ideal candidate will be flexible and remain open to evolving responsibilities and expectations as our systems, and the teams we support, grow and evolve.

Position Reports to: Manager, Global Donation Operations

Position directly supervises: N/A

Other key internal and/or external contacts:

Internal: Colleagues in IRC UK Finance and fundraising departments; colleagues working in the areas of digital technology and global fundraising across External Relations

External: Coordinate with key Data & Analytics vendors

Key Accountabilities

- Processing donation and supporter information into IRC-UK’s Supporter Database, Salesforce, including data entry and ensuring automated data uploads are maintained - Updating all additional financial and constituent information in Salesforce - Develop and perform daily quality control processes to ensure accuracy and efficiency, and compliance with EU regulations - Build and maintain protocols and documentation to ensure consistent and accurate data transfer, storage and retrieval - Participate in special projects as needed - Work closely with UK Finance Team to support financial processes, supplying data and information and supporting monthly reconciliation - Batch, scan, process, and deposit daily donations - Collaborate with fundraisers across the department in all items pertaining to gift processing

Person Specification

Demonstrated Skills and Competencies:

- Excellent computer skills: facility with MS Word, Excel, and email/internet software. - Excellent oral and written communication and interpersonal skills: possess the ability to communicate and liaise effectively with colleagues and vendors and works well within a team environment; - Solid organisational skills: can work efficiently in a fast-paced, thorough, and collaborative environment and the ability to independently manage a varied workload and meet deadlines; - Accuracy and attention to detail a must; sensitivity when working with highly confidential information and ability to maintain complete discretion at all times; - Ability to identify areas to increase efficiency of our systems; - Proven ability to plan and lead a variety of projects and high work volume: must work well under pressure, prioritise, show flexibility, and solve problems creatively

Preferred:

- Experience working in customer service or related field - Previous experience and understanding of fundraising and CRM management is desirable - Demonstrated skills for analysing and interpreting data and systems

Working Environment:

Standard office work environment. Twice weekly from the office and three days work from home

Language Skills: English (fluent).
