Provide administrative and operational support for AI & Innovation division.

You have:

  • 2–4 years’ experience in administration, business operations, or team coordination, ideally within a matrixed or fast-paced environment.
  • Excellent organisational and prioritisation skills, with strong attention to detail.
  • Strong written and verbal communication skills, with the ability to produce clear, concise materials.
  • Proficiency with Microsoft or Google Suite tools (Docs, Sheets, Slides, Excel, PowerPoint) and familiarity with collaboration tools (Asana, Smartsheet, or similar).
  • Proven ability to manage multiple tasks, stakeholders, and deadlines simultaneously.
  • Professional and discreet approach, maintaining confidentiality and credibility when supporting senior leaders.
  • A proactive, solution-oriented mindset and willingness to take initiative.
  • Experience supporting senior leadership or executive offices.
  • Familiarity with budget tracking, procurement, or financial coordination processes.

Role Summary

The Business Management & Support Associate plays a critical professional role in enabling effective operations, planning, and performance management across the AI & Innovation business unit. Working under the direction of the Business Management & Support Lead, the role takes ownership of defined operational workstreams and delivers analysis, insight, and coordination that strengthen the AI & Innovation business unit’s decision-making and delivery.

The role includes responsibility for producing high-quality reporting and dashboards, analysing trends and risks, managing cross-team information flows, and advising stakeholders on process adherence and operational requirements. The role engages independently with teams across AI & Innovation and other functions to gather inputs, resolve issues, and drive consistency. Key Responsibilities

Operational and Administrative Support

  • Own defined workstreams (e.g., reporting cycles, documentation standards, tracking systems) and ensure high-quality, timely delivery.
  • Analyse operational data, identify trends or issues, and provide recommendations to support business unit decision-making.
  • Work directly with stakeholders across AI & Innovation and the wider organisation to gather inputs, resolve operational queries, and ensure alignment across workstreams.

Planning, Performance & Governance

  • Contribute analytical inputs to the AI & Innovation planning cycle, including preparation of KPIs, risk summaries, and other insights.
  • Maintain governance artefacts and proactively identify areas requiring escalation or clarification.
  • Produce or contribute to divisional performance dashboards, ensuring data accuracy and narrative coherence.

Stakeholder Coordination & Advisory Support

  • Act as a first-line advisor on business management processes, guiding teams on timelines, formats, and standards.
  • Coordinate cross-divisional contributions for leadership briefings, ensuring consistency, completeness, and quality.
  • Draft internal communications, briefing notes, and summaries with clear analytical reasoning and structured insights.

Continuous Improvement & Division Enablement

  • Identify opportunities to simplify, automate, or strengthen operational processes and implement agreed improvements
  • Contribute to division-wide initiatives related to culture, onboarding, information management, or operational excellence.
  • Support the Business Management & Support Lead on targeted operational improvement projects or analytical tasks.

Essential Skills

  • 2–4 years’ professional experience in consulting, operations, business management, project coordination, or analysis within a complex or fast-paced environment.
  • Demonstrated ability to take ownership of defined workstreams and deliver high-quality outputs with limited supervision.
  • Strong analytical and problem-solving capability, with experience interpreting data, identifying themes, and preparing well-reasoned recommendations.
  • Confident stakeholder engagement skills, able to collaborate across teams, influence peers, and manage competing demands.
  • Excellent written and verbal communication, capable of producing clear, structured, and concise materials for leadership audiences.
