Established in 1944, the World Bank Group (WBG) is one of the world’s largest sources of funding and knowledge for development solutions. In fiscal year 2018, the WBG committed $67 billion in loans, grants, equity investments and guarantees to its members and private businesses, of which $24 billion was concessional finance to its poorest members.

Reporting to the Managing Director and WBG Chief Administrative Officer (MDCAO), the Global Corporate Solutions Department (GCS) brings together the functions of Corporate Security (GCSSC), Corporate Real Estate (GCSCR), and Corporate Services (GCSCS). GCS is led by a Director.

GCS’s Corporate Real Estate Division (GCSCR) supports IBRD, IDA, MIGA, and ICSID in realizing and executing their real estate needs worldwide. It is a key interlocutor between Senior Management, operational management, and staff of IBRD, IDA, MIGA, and ICSID. GCSCR’s primary purpose is to create strategic, cost effective, functional, efficient, and safe real estate solutions for its clientele.

To achieve its purpose, GCSCR led by the Senior Manager, is structured into 3 divisions: (I) HQ Real Estate Development & Management (GCSHQ) and (II) Global Real Estate Development & Management (GCSIR) and (III) Global Strategy and Planning (GCSSP). GCSCR also acts as the Secretariat for the WBG’s Real Estate Governance Framework, including supporting the WBG Real Estate Governance Council, chaired by the MDCAO, and the Real Estate Governance Group, chaired by the Director, GCS.

GCSCR is comprised of approximately 70 staff, leverages over 500 contractors, including for facilities management at HQ (based in Washington, DC), and manages an annual facilities capital investment plan of ~$30 million at HQ. GCSCR works closely with the Regions on the Bank’s more than 100 country offices and manages several of the Bank’s owned (and larger leased) country offices.

The Assistant Project Manager position reports to the Project Manager for Central Support Services in the GCSCR HQ Real Estate Development and Management section. The position’s primary responsibility is to provide support for the furniture and moving services unit to ensure alignment with the HQ facilities and real estate annual program.

Duties and Accountabilities

Duties and accountabilities include but are not limited to:

- Assist the contract manager for moving and furniture services to ensure services and operations align with contract terms and conditions. - Conduct market research on systems furniture to stay abreast of the latest offerings and direction of the industry. - Identify, cultivate, and maintain new and existing supplier relationships with furniture manufacturers. - Oversee the quality control program for office moving and systems furniture contracts to ensure KPIs are tracked in accordance with contract requirements. - Coordinate with key stakeholders (i.e., Corporate Security, Food & Conference Services, IT) on cross-cutting activities involving daily move and furniture services. - Work closely with the Facilities Help Desk, Moving, and Systems Furniture Contractors to capture the scope of work and coordinate move and delivery schedules. - Provides operational and procedural support to ensure projects and service requests are executed in accordance with established procedures and schedules. - Review furniture plans and specifications for accuracy and completeness prior to order placement. - Develops and monitors comprehensive tracking for existing inventory, new products, furniture layouts, and sample boards. - Review and verify vendor invoices in accordance with internal procedures and guidelines. - Works closely with Project Managers on post-occupancy of furniture and move-related services to ensure work is completed in accordance with contract terms. - Assists with the developing the scope of work for new furniture procurements. - Develop and maintain strong, regular relationship with the corporate sustainability team on furniture specifications and end of use recycling/disposal.

Selection Criteria

- Bachelor’s in architecture or related field required and 3-5 years' work experience in architecture, facilities management or real estate field - Skilled in Microsoft Office (Word, Excel, Access, and PowerPoint) - Proficient in AutoCAD and CAFM software. - Knowledge of all aspects of contract furniture management, including account management, project management, order preparation and management, installation, relocations, storage management and contract furniture administration. - Excellent organization skills and project documentation experience required. - Experience in reading architectural drawings, furniture, and space plans, conducting field verifications, site measurements, and furniture surveys. - Must be extremely organized, with good time management skills and the ability to work independently with minimal guidance. - Detail orientated. - Anticipates, identifies, quantifies, and resolves problems in a timely and positive manner. - Consistently meets deadlines and completes tasks as previously defined. - Works with integrity, trust and commitment, setting an example for others.
