Org. Setting and Reporting This position is located in the Human Resources Management Section (HRMS), United Nations Office at Geneva (UNOG). The Assistant Human Resources Officer reports to the Human Resources Officer, Chief of Unit and to the Chief of HRMS.

Responsibilities Within delegated authority, the Assistant Human Resources Officer will be responsible for the following duties:

- Coordinates with client offices written and/or technical tests prior to the interview process, if required; - Reviews applications, and provides a short-list to clients’ offices. - Supervises the maintenance of the human resources filing system. - Organizes and coordinates interview arrangements for the short-listed candidates including preparation of relevant documentation required for interview panels. - Takes notes during the interviews and, in consultation with the HR representative on the interview panel, drafts the interview report in a concise and fluent manner - Initiates and follows-up on reference checks and academic verifications, ensuring the completion of pre-recruitment formalities - Handles correspondence with applicants. - Assists in identifying and analyzing staffing needs. - May be requested to provide and collect induction documentation for onboarding of staff members. - Provides advice and support to managers and staff on human resources related non-staff personnel matters. - Enters information in Umoja (ERP system). - Keeps abreast of developments in various areas of human resources. - Undertakes any other related tasks, as required.

CLIENT ORIENTATION: Considers all those to whom services are provided to be “clients” and seeks to see things from clients’ point of view; establishes and maintains productive partnerships with clients by gaining their trust and respect; identifies clients’ needs and matches them to appropriate solutions; monitors ongoing developments inside and outside the clients’ environment to keep informed and anticipate problems; keeps clients informed of progress or setbacks in projects; meets timeline for delivery of products or services to client.

Education Advanced university degree in human resources management, business administration or public administration, social sciences, education or a related field is required. A first level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced degree.

Work Experience Applicants to positions at this level who have an advanced university degree in a relevant field of study are not required to have professional work experience. For applicants who have a first level university degree, two additional years of qualifying work experience is required.

Experience drafting reports, minutes, research writing or article writing is desirable.

Experience in human resources management is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For the positions advertised, fluency in English is required. Knowledge of French is desirable. Knowledge of another UN official language is desirable.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice This position is on a When Actually Employed (WAE) basis. The duration of need for this temporary job opening is for an initial period of six months, with the possibility of extension. The maximum number of days that may be worked in the six-month period should not exceed four and one half months and will be intermittent in nature. This position is limited to local recruitment, hence, candidates must reside within commuting distance to the United Nations Office at Geneva. Selected candidates must ensure that he/she will be available at short notice for work assignments. Candidates should have no expectation of any fixed term appointment possibility after the end of this temporary assignment. If the selected candidate is an internal staff member of the UN Secretariat, the selection will be recorded as a temporary assignment. Subsequent to the initial temporary appointment, new and successive temporary appointments may be granted for service in the same office or in a different office any number of times, for any duration, provided that the length of service does not exceed the period of 364 calendar days.
