Org. Setting and Reporting

The position is located in the Protocol and Liaison Service, Office of the Director-General, United Nations Office at Geneva (UNOG). The incumbent will report to the Chief of the Protocol and Liaison Service.

Responsibilities

Under the supervision of the Chief of the Protocol and Liaison Service, the incumbent will be responsible for the following duties: - Taking part in preparations for visits to the Palais des Nations by the Secretary-General of the United Nations, the President of the General Assembly, the Deputy Secretary-General of the United Nations, as well as Heads of State and other high-level dignitaries. Ensuring that visits run smoothly and assisting the Chief of Protocol in coordinating with departments at the Palais des Nations and with external contacts. - Drafting official correspondence; preparing invitation cards; filtering appointment requests; making flight reservations for the Secretary-General and the Secretary-General’s team. - Preparing, distributing and updating (intranet and Internet) the directory of permanent missions ("Blue Book"), in both paper and electronic versions; maintaining the Director-General's database accordingly. - Processing the accreditation of new ambassadors, permanent representatives and permanent observers to UNOG; receiving curricula vitae and credentials and checking that they comply with the rules of the United Nations and the host country. - Assisting the Chief of Protocol in welcoming high-level dignitaries to special conferences organized at UNOG; preparing seating plans; potentially handling protocol for official lunches, dinners and receptions given by the Secretary-General, the Director-General or other senior United Nations officials and for conferences organized by specialized agencies in Geneva. - Assisting, as required, the staff of UNOG, specialized agencies and other United Nations entities in matters of protocol and drafting of official correspondence (notes verbales and other official documents). - Overseeing the receipt and processing of requests for UNOG grounds passes for staff of permanent missions and permanent observer offices. - Ensuring the drafting, reception and distribution of mail and memorandums; maintaining the files of the Protocol and Liaison Service. - Distributing protocol lists and updating them on the intranet.

Work Experience

At least 10 years of experience in protocol services, the management of diplomatic events, administrative assistance or a related field are required. The minimum number of years of relevant professional experience is reduced to 8 for candidates with an undergraduate university degree or above. Of these 10 years of experience, at least 5 years in the United Nations common system or in another similar international organization are required. Experience in drafting official documents for permanent missions is desirable. Experience in organizing official events with high-level dignitaries and other diplomats in attendance is desirable. Experience in interacting with permanent missions and high-level dignitaries is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For this position, fluency in English and French is required. Knowledge of another official language of the United Nations is desirable.

Assessment

Evaluation of qualified candidates may include an assessment exercise which will be followed by a competency-based interview.
