OBJECTIVES OF THE PROGRAMME

The objectives of the Communications unit (COM) in the Office of the Regional Director are:

  • to increase awareness of key health issues in the Region and encourage appropriate behaviour change to address them;
  • to advocate for evidence-based policies and build constituencies and partnerships around key public health challenges in the Region; and
  • to enhance visibility of and support for WHO’s work, including through stories of its impact on people’s lives.

DESCRIPTION OF DUTIES

Under the supervision of the Communicationss Officer and guidance of the Regional Communications Manager, the incumbent will perform the following duties:

1. Coordinate preparation of meetings and events with internal and external participants including research, venue booking, cost estimates, travel arrangements, invitations and RSVPs, preparing and disseminating agendas and relevant documents, taking and disseminating minutes, etc;

2. Ensure timely preparation and processing of selection/renewal/cancellation of contracts for staff and suppliers, and procurement and dispatching of goods and services, as required;

3. Provide general support for administrative tasks in Global Management System (GSM);

4. Draft general or administrative correspondence on own initiative or per instructions, ensuring accuracy, WHO style, correct grammar and formatting. Promptly attend to requests and correspondence in line with existing policies and precedents and manage straightforward requests independently; when necessary, obtain and attach background information for review of the supervisor, or redirect to other unit(s) as appropriate. Proactively follow up and ensure target dates and deadlines are met;

5. Prepare necessary memos, travel requests, flight and hotel reservations, travel documents and other tasks related to staff official travel;

6. Support communication focal points in country offices and technical units in the Region, attending to their needs, providing information/documents and scheduling regular video conferences;

7. Assist with drafting, clearance and dissemination of communication and advocacy materials for internal and external audiences. This may include content for the website, Intranet and social media; and

8. Perform other duties as required

REQUIRED QUALIFICATIONS

Education

Essential: Completion of secondary education or its equivalent with relevant training in administration, communications or related field. Desirable: University degree in public administration, communications, public relations or marketing.

Experience

Essential: At least five years' relevant experience in administrative support, preferably with a large international organization

Desirable: Experience working in WHO or other UN agency.

Skills

Knowledge and skills in the use of office equipment and applications that are essential to the performance of duties. This includes proficiency in the Microsoft Office package including Word, Excel, PowerPoint and Outlook.

Ability to keep abreast of developments in communications and advocacy, quickly learn new skills and adapt to changes in operations, procedures, rules and regulations as well as organizational structures within and outside the unit.

Ability to manage multiple, concurrent tasks, perform under pressure and deliver high-quality products on deadline.

Very good organizational skills and attention to detail, and the ability to work unsupervised.

Ability to work harmoniously as a member of a team, adapt to diverse educational and cultural backgrounds and maintain a high standard of personal conduct.

REMUNERATION

WHO offers staff in the General Services category an attractive remuneration package, which for the above position includes an annual net base salary starting at PHP 638,273 (subject to mandatory deductions for pension contributions and health insurance, as applicable) and 30 days of annual leave.
