Job Description

The Logistics Specialist will support the APA program. The Logistics Specialist will support new arrivals and staff with office wide procurement, asset management, and organizing and maintaining inventory of supplies. The Logistics Specialist will work closely with Finance to ensure client funds are properly received, tracked, and reconcile. and with the Housi Logistics Coordinator to ensure clients receive needed goods in a timely manner.

Major Responsibilities:

· Maintain an accurate inventory of supplies, including offsite storage/warehouse for the APA program.

· Manage the Access Inventory Database and Integra, including entering items as received and releasing appropriate inventory.

· Assist in office wide procurement specifically in purchasing office supplies for staff.

· Provide support to program managers across IRC Phoenix departments in the BID analysis for large item purchasing.

· Provide asset management support to program managers across IRC Phoenix.

· Distribute and explain Resettlement inventory to clients, obtaining signatures and receipts.

· Act as secondary receiver of inventory items, and review Delivery Reports as received.

· Conduct quarterly inventory audits with Housing and Logistics Coordinator.

· Arrange the logistics of new arrival home set-ups including ETO voucher creation and tracking.

· Attend weekly case management meeting and liaise with case management as needed.

· Work with volunteers and interns to prepare pre-arrival household kits and assist with inventory management.

· Work closely with the In-Kind Donation Coordinator when coordinating needed supplies for new families.

· Prepare and complete pre-arrival documentation for client case files, including requisition approvals.

· Monitor client financial ledgers and request spending plans prior to clients 90th day.

· Assist finance with monthly inventory liquidation, reconciliation reports, and case file reviews.

· Assist with the implementation and act as focal point for the IRC partnership management system, PEERS, including partner contracts, service contracts and due diligence processes.

· Assist with completing paperwork, reports, and document filing.

· Other duties as assigned.

Position Reports to: Operations Manager

Position directly supervises: none

Indirect Reporting: Executive Director, Leadership Team, Administrative Manager

Other Internal and/or external contacts:

Internal: IRC Staff, Volunteers and Interns

External: Position helps coordinate services and is responsible for maintaining relationships with appropriate vendors and community partners.

Qualifications

• Proficient in Microsoft Office applications (Word, Excel, Outlook).

• Fluent in English, both spoken and written; ability to communicate in a refugee language strongly preferred.

• Ability to prioritize and mange time effectively.

• Demonstrated success working and communicating effectively across teams and in a multi-cultural environment.

• Excellent interpersonal skills. Professional, friendly and courteous attitude a must.

• Valid driver’s license, reliable vehicle with current insurance, and the ability to travel regularly throughout the service delivery area.

• Must have or be eligible to receive a valid Fingerprint Clearance card

Working Environment:

· Office environment with some offsite warehouse/storage facility management and the ability to safely lift 50 pounds.
