Support UNEP Chemicals branch in processing reimbursement cases.

You have:

  • An advanced university degree in project management, public administration, business administration, finance or related fields.
  • A minimum of two years of experience in programme / administrative services is required.
  • Prior experience with the UN System is an asset.
  • Fully proficient computer skills, use of web-based platforms and relevant software e.g. word processing, PowerPoint, Excel.
  • Fluency in written and spoken English is required.
  • Fluency in written and spoken French is encouraged.

Result of Service

Deliverables and support provided by the consultant will contribute to the timely and accurate processing of participant reimbursement cases, including verification of banking details, confirmation of reimbursement amounts, preparation and submission of reimbursement/payment documentation for processing, and follow-up with participants until cases are resolved. The consultant’s support will also contribute to the successful convening of key meetings and events, including the ISP-CWP informal technical meeting on the rules of procedure, the resumed first session of the Plenary of the ISP-CWP, the GEF 8 Global Supply Chains Forum, and the planetGOLD Global Forum.

Duties and Responsibilities

The consultant will support the Branch in the implementation of activities related to the ISP-CWP informal technical meeting on the rules of procedure and the resumed first session of the Plenary of the ISP-CWP, the GEF8 Global Supply Chains Forum on Transforming Fashion and Construction Supply Chains for Circularity and Chemical Safety, ad hoc ICCA project meetings, and the planetGOLD Global Forum. The consultant will be responsible for supporting UNEP Chemicals branch and different Unit’s work as per below: - Processing and follow-up of meeting participant reimbursement cases, payment-related issues. - Provide logistical support for different Unit during all the year - Arranging and processing the air travel of the sponsored participants, obtaining itineraries and supporting communications with Governments for obtaining visas, obtains tickets and ensures travel claims are processed within the acceptable times for onward action. - Arranging and processing the disbursement of daily subsistence allowance and submitting expense reports for participants. - Managing the information on participants and preparing the list of participants. - Support with registration and the information desk. - Communicating with the participants on logistical and administrative issues. - Processing travel arrangements/approvals for consultants on mission, prepares the necessary documents for participation in missions, acquires an itinerary, ticketing, circulation of mission reports, ensures travel claims are processed within the acceptable times for onward action. - Provides other duties as required.

Qualifications/special skills

An advanced university degree in project management, public administration, business administration, finance or related fields. • A minimum of two years of experience in programme / administrative services, (e.g., secretariat, clerical, finance, programme assistance) is required. Prior experience with the UN System is an asset. Prior experience to provide UN meeting support services is strongly encouraged. • Fully proficient computer skills, use of web-based platforms and relevant software e.g. word processing, PowerPoint, Excel, internal databases, Internet, online meeting platforms.

Languages

English and French are the working languages of the United Nations Secretariat. Fluency in written and spoken English is required.
