Overview

Provide administrative support with minimal supervision

You have:

  • A high school diploma or equivalent is required
  • Minimum 7 years of experience in administrative services, etc.
  • Fluency in oral and written English is required
  • Knowledge of another official United Nations language is an advantage
  • Experience working within the UN System

Result of Service Work will require frequent interaction with (1) Staff within the RCO including outposted capacities and partners of the RCO; (2) Human resource, administrative, accounting staff in Agencies, Funds and Programme and Headquarters, general support service and conference services staff. Individual Consultants or Consulting firms.

As such, it is expected that the successful candidate, will work with minimal amount of supervision; independently provide accurate reports and/or records in the areas of work programming, budget/financial management, personnel administration and other administrative functions

Work Location UN House, Barbados

Expected duration 3 months with a possible extension

Duties and Responsibilities Within delegated authority, the Temporary Administrative Assistant will be responsible for the following duties:

1. Drafts routine correspondence to respond to enquiries in respect to relevant administrative, financial audit, personnel matters

2. Coordinates extensively with service units and liaises frequently with internal team members both at Headquarters and in the field.

3. Provision of general administrative support to inter-agency committees including the UNST, OMT, BMC, ECDPG-HOA, the BOS Working Groups inclusive of the coordination of meetings, preparation of meeting minutes; follow-up on agreed decisions made at each meeting.

4. Performs other related administrative duties, as required (e.g., operational travel programme, support for calendar management, monitoring accounts and payment to vendors and individual contractors for services; physical space planning; identification of office technology needs and maintenance of equipment, software and systems; organizing and coordinating seminars, workshops, conferences and translations).

5. Support satellite office in adopting administrative protocols with respect to correspondences, organization of meetings, and inter-agency communications

6.Ensure RCO has adequate stationery supplies

Qualifications/special skills A high school diploma or equivalent is required Experience working within the UN System Minimum 7 years of experience in administrative services, etc.

Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.
