Job Description

Job Overview/Summary: The Operations Specialist provides a broad variety of support services related to the Abilene office’s operations. The position is responsible for coordinating Bank of America Card payments, HR support, safety coordination and other administrative tasks.

Responsibilities Responsibilities may include, but are not limited to:

· Mail vouchers to clients for signatures.

· Process monthly bills & liaise with external vendors

· Support local HR by posting job descriptions, requesting background check, IT accounts and assisting with onboarding prep, business cards & ID cards

· Manage office supply inventory and monthly office supply order

· Manage incoming in-kind donations

· Take payments coming into the office, reconcile and manage bi-weekly bank deposit

· Manage front desk schedule

· Track time off requests and issue time leave memos (Starting October 2021 TBD)

· Act as security focal point, attend monthly security focal point COP, update Shield database

· Provide COVID-19 support by dispersing client computers, coordinating efforts to disseminate COVID-19 information to clients,

· Provide logistics support to the office’s Strategic Action Plan development, implementation and reporting

· Provide support in grant research

· Liaise with HQ on special projects

· Other duties as requested

Requirements

· Bachelor’s Degree preferred, preferably in a field associated with business administration, finance or human resources

· Basic accounting skills preferred

· Excellent communication skills, with fluency in written and spoken English. Bilingual ability in one of the predominant languages of the local client base is desired.

· Proven success achieving goals and working effectively with all levels of staff in a multicultural environment

· Proficient in Microsoft Office applications (Word, Excel, Outlook)

· Valid driver’s license, reliable vehicle with current insurance, and the ability to travel regularly throughout the service delivery area.

Work Environment:

• Standard office environment.

• Ability to safely lift 25 lbs.

• Flexibility to travel throughout the service delivery region as needed.
