This is a UNV National Specialist contract. This kind of contract is known as National UN Volunteer. It is normally only for nationals. More about UNV National Specialist contracts.

The UN Volunteer will provide security admin support for the progression of tasks required to support the Security Office in the efficient and effective achievement of its duties and responsibilities. In terms of functional matters related to UNDP security, the UN Volunteer will report to the National Security Officer (NSO) who will serve as the primary supervisor.

The UN Volunteer will be included in the Country Office’s learning plan and will have access to all learning activities, UNDP Intranet and Talent Development Centre (TDC) in addition to the learning on the job.

Within the delegated authority and under the supervision of National Security Officer or his/her designated mandated representative(s), the UN Volunteer Administrative Security Assistant will:

a) Maintain security documentation: • Ensure all security staff contact lists are up to date, accurate and distributed as required. • Ensure warden lists are up to date, accurate and distributed as required. • Maintain an up-to-date database of all security related documents for Lebanon, including Security Plans, Security Risk Assessment (SRA)s, SOPs (Standard Operating Procedures) and Security Management Team (SMT) minutes. • Submit the required documents and requests, and maintain records, for all mission requests within Lebanon. • Track mission requests.

b) Maintain transport documentation: • Assist the drivers in preparing security clearance requests for the Country Office missions.

c) Maintain Security Equipment documentation: • Maintain an inventory list of all security equipment registered to the Security Office in coordination with UNDP National Security Officer. • Assist in developing and maintaining an accurate database of all security equipment issued to staff and ensure security equipment is ready and available for issue. • Assist NSO in Evaluating the Security and Safety systems

d) General Administrative Tasks in Support of the Security Team and the Country Office: • Maintain an accurate database of information pertaining to the relocation of staff to different locations within Lebanon. • Accurately record the locations of international staff members travelling in Lebanon and national staff members on mission in Lebanon outside their duty station. • Follow up with Procurement and Operations teams to ensure delivery of procured security items and equipment. • Take minutes or notes at security meetings and ensure follow up;

e) Undertake other functions within the Country Office to ensure learning progression: • Benefit from learning opportunities in the office and complete available online courses required for this assignment.

administration preferably in an international or government organization. • At least 1 year of security and safety system design. • Solid computer skills (MS word, Excel, and PowerPoint). • Other desired/mandatory required technical knowledge. • Excellent oral and written skills; excellent drafting, formulation, reporting skills. • Accuracy and professionalism in document production and editing. • Excellent interpersonal skills; culturally and socially sensitive; ability to work inclusively and collaboratively with a range of partners, including grassroots community members, religious and youth organizations, and authorities at different levels; familiarity with tools and approaches of communications for development. • Ability to work and adapt professionally and effectively in a challenging environment; ability to work effectively in a multicultural team of international and national personnel. • Solid overall computer literacy, including proficiency in various MS Office applications (Excel, Word, etc.) and email/internet; familiarity with database management; and office technology equipment. • Self-motivated, ability to work with minimum supervision; ability to work with tight deadlines. • Sound security awareness. • Have affinity with or interest in UNDP volunteerism as a mechanism for durable development, and the UN System.

As this is a national UN Volunteer assignment, the UN Volunteer will be responsible for arranging his/her own housing and other living essentials. This position is based in Beirut at UNDP CO offices. National UN Volunteers are part of the malicious insurance plan. National UN Volunteers are expected to be culturally sensitive and adjust to the prevailing culture and traditions.
