This is a UNV International Specialist contract. This kind of contract is known as International UN Volunteer. It is normally internationally recruited only. More about UNV International Specialist contracts.

Description of task

Under the direct supervision of the Field Administrative Officer,the Administrative Officer will perform a wide range of administrative and logistical functions in support of UNMISS’ Malakal field office including, but not limited to, the following:

  • Support the FAO in overseeing the provision of administrative and logistical support within the Upper Nile State but in particular to the state’s county operating bases (COB) in Bunj, Kodok and Renk. Keep the FAO informed on all relevant issues related to the day-to-day management;
  • Assist FMU with overseeing the management of team site facilities. Schedule and oversee maintenance activities and repairs works in the COB’s. Manage the COB’s camp services;
  • Assist in monitoring the provision of all contracted services within the Upper Nile State ensuring its timely and professional service delivery;
  • Assist in managing, scheduling and organising of the administrative and support staffs day-to-day activities;
  • Assist in managing budget and financial resources in a cost-effective manner and in strict accordance with UN finance rules and regulations. Approve petty cash expenditures in the absence of the FAO;
  • Support the FAO in administering first line human resources management in accordance with UN and UNMISS directives, policies, rules and regulations;
  • Assist the FAO in dealing with issues of inter-personal differences that could affect the overall performance of the FO support team and aids the “local” arbitrating of any difference of general or personal nature;
  • Liaise with security on matters affecting office and accommodation MORSS and MOSS compliance periodically;
  • Support the FAO with responsibilities for occupational health and safety and environmental issues;
  • Act as the OFAO focal point for all issues pertaining to staff welfare. Participate in, promote and assist with the organising of events and activities;
  • Develop programmes designed to improve the quality of life of staff members within the field office;
  • Facilitate welfare initiatives;
  • Participate in developing the expertise, profile and capacity of the field welfare unit;
  • Monitor, evaluate and report upon the performance standards of the welfare contracted services (catering, PX etc.) by UNMISS. Oversee adherence to contractual agreements;
  • Serve as a member of the Malakal environmental working group;
  • Serve as a member of the Malakal OHS working group;
  • Responsible for the preparation of periodic reports and correspondence related to the administration of the Malakal field office and UNS team sites;
  • Undertake special assignments related to the overall management of the OFAO to augment its support commitments;
  • Any other related responsibilities or tasks as directed by FAO.

Public administration & business management studies

Experience remark

3 years experience in administrative services, finance, coordination or related areas is required.

Experience in organising staff welfare activities, corporate events or management of leisure facilities is strongly desirable.

Language skills

  • English(Mandatory), Level - Fluent
