The work performed by Administrative and Finance Assistant will positively impact in terms of the efficient implementation and monitoring the income, expenses and budgeting process as well as a key focal point to ensure the active compliance with administrative and internal systems in compliance with the applicable policies, procedures, rules and regulations.

How can you make a difference?

key functions/accountabilities:

1. Lead, support and manage the administrative workplan for PFP

  • Supervise and monitor the accurate and on time administrative workplan (contracts, LTA, s, RFQS, travel plan, among others)
  • Contributes to the reviews of contracts arrangements related to the administrative support to ensure that the terms and conditions of all contracts are being adhered to by providers of goods and services. Ensure that all administrative transactions and arrangements of contracts are compliance with the applicable policies, procedures, rules and regulations
  • Work closely with Operation Specialist to ensure the correct develop of all administrative workplan.
  • Give advice and recommendations to PFP members on the improvements on the internal controls systems taking into the account the administrative rules, regulations, policies and regulations.
  • Develop regular reports to administrative deadlines and alert on time the administrative renewal necessities.

2. Budget report, monitoring and implementation.

  • Ensure the properly management of PFP budget which includes income, expenditure, cost charging, investment funds providing guidance to the PSFR technical administrative and finance support.
  • Budget monitoring is properly administrated in the area giving support and raising alerts to PFP team.
  • Gathering, recordings and reporting income and expenditure transactions to the PFP Finance & Business Analysts for further analysis adapted to fundraising needs.
  • Monitoring and regular reports on progress against budget utilization, bridging funds repayment, Dynamo funds payments, and SP Salary grant, developing and using BI dashboards.
  • Monitoring and controlling expenditure against the 25% Cost Charging. These activities should be at least quarterly.
  • Ensure reports, KPI´s and documents are prepared timely updated.

3. PSFR income and expenditures are timely and properly registered and management.

  • Prepare and maintain report templates or platforms for easy access to PFP areas and managers. Supervise all enhancement and development requests. These reports should include all funding sources, such as: WB, IF, Dynamo Funds, etc.
  • Assist department management to manage expenses reports and perform quarterly and yearly reviews.
  • Administer production and distribution of internal financial reports, compile various cross functional reports and take necessary actions as needed.
  • Working closely with the PFP fundraising manager to complete on time and quality manner all fundraising reports, reports such as QFS, RER, PSP etc. Will be completed
  • Assist Fundraising Manager in preparing estimates on office section expenses for budget preparation purposes.

4. PFP administrative support

  • Coordinate and anticipate with OPS department all current or future needs and process from PFP.
  • Facilitate PFP meetings, workshops, regional visits and quarterly reviews
  • Support PFP team with annex workplan documents, travel plan, contract and procurement plan
  • Any other assigned administrative support and task required is effectively and timely delivered.
  • Provide practical input on implementation of administrative and PSFR finance guidance in close coordination with operations staff.

To qualify as an advocate for every child you will have…

  • Completion of Secondary education. Technical and/or University levels in administration, finance or any other discipline relevant to the job is an asset
  • A minimum of six years of relevant professional experience in administration, finance, accounting, supply or any relevant function.
  • Developing country work experience and/or familiarity with emergencies is considered an asset.
  • Fluency in Spanish and English.
