Overview

Provide administrative and logistical support to the Senior Representative.

You have:

  • At least 3 years of professional work experience, at the national and/or international level, in administration, logistics, or procurement, or other relevant programmes.
  • Excellent oral and written skills; excellent drafting, formulation, reporting skills.
  • Accuracy and professionalism in document production and editing.
  • Excellent interpersonal skills; culturally and socially sensitive; ability to work inclusively and collaboratively with a range of partners.
  • Solid overall computer literacy, including proficiency in various MS Office applications (Excel, Word, etc.) and email/internet.
  • Self-motivated, ability to work with minimum supervision; ability to work with tight deadlines.
  • Have affinity with or interest in gender equality, volunteerism as a mechanism for durable development, and the UN System.

Contract

This is a UNV National Specialist contract. This kind of contract is known as National UN Volunteer. It is normally only for nationals. More about UNV National Specialist contracts.

This UNV assignment is part of the Tunisia & Libya Cluster Office programmes and operations by providing administrative and logistical support to the Senior Representative. The Administrative and executive assistant supports administrative, protocols, and logistics of the Office under the supervision of the Representative. She/He will assist the office's day-to-day operations and timely delivery according to UN Women rules and regulations.

Within the delegated authority and under the supervision of UN Women Tunisia & Libya Cluster Office or his/her designated mandated representative(s), the UNV Administrative and Executive assistant will:

1- Provide general logistical support: • Act as a Travel Arranger to create and follow up with the Representative Travel Plan, Travel Request, Travel Claim and security clearance. • Procure goods and services in compliance with UN Women rules and regulations. • Request flight schedules from the Procurement Associate, identify and book accommodation for the Representative. • Coordinate Drivers’ transportation plan by managing the calendar of requests for driving services. • Manage the Representative’s calendar and schedule of appointments and meetings.

2- Provide administrative support • Provide support in personnel administration for international and national staff as appropriate (e.g. renewal of UNLPs, visas). • Hold the Supplier Maintenance role to process or create (but not approve) suppliers (legal entity or • individual) in the ERP System • Coordinate movements and the consumption of fuel with the driver. • Verify the completeness of the vehicle log.

3- Provide executive support and information management • Draft official correspondence and memos. • Maintain roster of the Office contacts. • Maintain filing system ensuring safekeeping of confidential materials. • Organize and attend meetings, prepare minutes and summaries. • Maintain a log of the office supplies.

• At least 3 years of professional work experience, at the national and/or international level, in administration, logistics, or procurement, or other relevant programmes; experience with NGOs is an asset, as is experience working in the UN or other international development organization; • Excellent oral and written skills; excellent drafting, formulation, reporting skills; • Accuracy and professionalism in document production and editing; • Excellent interpersonal skills; culturally and socially sensitive; ability to work inclusively and collaboratively with a range of partners, including grassroots community members, religious and youth organizations, and authorities at different levels; familiarity with tools and approaches of communications for development; • Ability to work and adapt professionally and effectively in a challenging environment; ability to work effectively in a multicultural team of international and national personnel; • Solid overall computer literacy, including proficiency in various MS Office applications (Excel, Word, etc.) and email/internet; familiarity with database management; and office technology equipment; • Self-motivated, ability to work with minimum supervision; ability to work with tight deadlines; • Have affinity with or interest in gender equality, volunteerism as a mechanism for durable development, and the UN System.

The country is known for its gastronomic attractions and has a rich culinary tradition inherited from a millennia-old history. According to a ranking by the American magazine Ceoworld, Tunisia is the 7th least expensive country in the world. It has a recognized healthcare system and a high-quality educational system. The country is equipped with all the necessary structures and amenities for comfortable living. Tunis, the capital, is relatively easy to navigate. Public transportation is available and affordable. Crime rates remain relatively low, despite an increase in reported acts of violence. Tunisia is still undergoing a critical phase of democratic and social transition. It is important to stay informed about the political situation. Therefore, security advisories are systematically provided by the DSS and UNHCR security personnel.

As this is a national UN Volunteer assignment, the UN Volunteer will be responsible for arranging his/her own housing and other living essentials.

The UN Specialist Volunteer is entitled to receiving a Monthly Living Allowance of TND 2235.66.
