The Administrative Assistant reports to the Director, UNRWA Representative Office in New York

Responsibilities- Provides secretarial, clerical and administrative support to the Director and other staff of the Office; assists the Office in contacts with UN organizations, international bodies, diplomatic missions, civil society and the public as required; drafts, reviews and edits correspondence, including Note Verbales to governments; handles public inquiries and requests for information as required; assists the Office in the organization of events and conferences including through booking rooms, arranging receptions, contacting providers and participants, as well as any other support needed; acts as liaison between UNRWA and the UN regarding the technical and administrative side of mandatory reporting by the Agency.

- Maintains efficient organization of the New York Representative Office, including personnel and attendance records files, supplies and equipment; supervises the flow of all incoming documentation, including UN documentation, and orders copies of documents as required; serves as Procurement Officer for orders (including supplies and computer software) placed by UNRWA and follows up as required; handles requests for security clearance, visas and UN ID cards issuance as well as other relevant UN documentation coordination.

- Prepares and dispatches pouches to UNRWA HQ and handles the receipt and documentation of incoming pouches; handles other mail functions, including dispatch and receipt of express mail parcels to/from UNRWA HQ and Fields; distributes UNRWA documents originating in the duty station, HQ and Field Offices to recipients on mailing lists maintained by the Liaison Office; distributes press releases to the electronic mailing list and emergency appeals/letters/ invitations to Member States on different subjects; assists in formatting and distributing electronic external and internal newsletters from the Liaison Office.

- Keeps Representative Office accounts and facilitates payment of bills (telephone, office equipment and supplies, etc.); maintains operation of the office Imprest Fund; checks statements of account incoming; deposits contributions received into UNRWA account at a local bank, informs Finance Department and External Relations and Communications Department accordingly and acknowledges receipt of these contributions as necessary.

- Actively helps the Office in organizing the visit of UNRWA staff and others that come to New York on behalf of UNRWA, including by booking hotels, scheduling meetings and any additional support as required; supports the Office staff in the organization of their visits to the Middle East and elsewhere and with the necessary paperwork in the aftermath.

Education- Completed secondary school certificate, is required. - Diploma in administration or secretarial support and / or a university degree form an accredited educational institution in Business Administration or a related field, is desirable.

Work Experience At least six years of progressively responsible administrative work experience in an international, governmental or commercial organization, or embassy/ mission to the UN or UN agencies, is required.

Some experience with budgetary matters and bookkeeping., is required.

Familiarity with UN/UNRWA systems and practices, is desirable.

Completed secondary school certificate, is required.

Diploma in administration or secretarial support and / or a university degree form an accredited educational institution in Business Administration or a related field is desirable

Languages- Excellent command of written and spoken English, is required. - Working knowledge of another UN language, is desirable.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
