Job Description

Your responsibilities

Administrative tasks for the Central Secretariat in the Administration and Resources Group (AR), of the Accelerator Systems (SY) Department. As a member of the SY admin team, work closely with the department and technical groups administrative responsible. Interface with other CERN specialized services where necessary, (Human Resources Department, CERN service desk, claims office)

Activities include but are not limited to:

  • Administrative support for arriving and departing Members of Personnel, involving the preparation and coordination of the monthly departmental onboarding meeting. (Invitation of personnel and replies to related queries).
  • Preparation and processing of travel reimbursements for newcomers and departing personnel according to the different contractual conditions.
  • Coordination of departure formalities.
  • Personnel contract coordination and follow-up (extensions, terminations, resignations for Members of Personnel) and handling of related documentation.
  • Administrative support for departmental job shadowing requests for students and handling of subsistence payments for trainees.
  • Administrative support for the department inventory.
  • Registration of External Visitors.
  • Participation in SY-AR regular meetings.
  • Use of several CERN tools and databases.
  • Handling of confidential personal data.

Eligibility criteria:

  • You are a national of a CERN Member or Associate Member State.
  • By the application deadline, you have a maximum of two years of professional experience since graduation in Administration (or a related field) and your highest educational qualification is a general secondary education diploma.
  • You have never had a CERN fellow or graduate contract before.
  • Applicants with a Bachelor's, Master's or PhD degree are not eligible.

Additional Information

Job closing date: 7th February 2025 at 23:59 PM (midnight) CET.

Contract duration: 24 months, with a possible extension up to 36 months maximum.

Working hours: 40 hours per week

Target start date: 01-May-2025
