She/he will participate in the implementation of overall strategy of the Natural Sciences Sector and the delivery of the expected results of the Finance & Administrative Unit ensuring application and compliance with the rules, regulations, policies and procedures. In particular, she/he shall take action to: - Assist in the administrative and financial operations for activities of the Earth Sciences Division (SC/EES), by supporting, tracking and following of budget and progress of activities such as claiming cost recovery, ULO’s and liquidation. - Follow and make a prescreening of draft contracts, missions, conferences & meetings and other commitments as required. - Provide assistance on processing payment requests as well as reviewing unliquidated commitment (Purchase order, Travel orders and meetings) by using IRIS and DUO. - Process data from automated systems in order to support preparation of regular and ad-hoc budgetary/financial updates, to report on programme delivery, statistics and/or projections. - Ensure the proper creation and closure of files and the safe retention of all documentation online and in paper format; update accurate EES greenhouse gas-list (GHG) and online platform; follow up and update the database for security certificates and mission reports. - Assist Senior Administrative Assistant in the execution of daily tasks when required. - Respond to enquiries and follow up on routine outstanding matters; liaise with various internal services; draft briefing notes and other. **COMPETENCIES (Core / Managerial)** ------------------------------------ Accountability (C) Communication (C) Innovation (C) Knowledge sharing and continuous improvement (C) Planning and organizing (C) Results focus (C) Teamwork (C) **-** ----- For detailed information, please consult the [UNESCO Competency Framework](https://en.unesco.org/sites/default/files/competency_framework_e.pdf). **REQUIRED QUALIFICATIONS** --------------------------- ***Education*** - Completed secondary education or vocational education. ***Work Experience*** - A minimum of 3 (three) years of work experience in administrative, secretarial support or related field. ***Skills and competencies*** - Ability to maintain effective working relationships with people of different nationalities and cultural backgrounds. - Ability to work under pressure, respecting tight deadline and delivering on the standard required. - Good organizational skills as well as ability to establish priorities and to plan, coordinate and monitor work plans. - Ability to take initiative and provide quality and timely support services. - Ability to adjust work schedules and priorities. - Discretion, good sense of judgement, integrity, tack and diplomacy. ***Languages*** - Excellent knowledge (oral and written) of French. **DESIRABLE QUALIFICATIONS** ---------------------------- ***Skills and Competencies*** - Knowledge of UNESCO rules, administrative procedures and standard practices. - Knowledge of ERP systems (SAP or other). - Knowledge of budget and finance practices. - Knowledge of Natural Sciences projects, in particular on Ecological and Earth Sciences. **Languages** - Good working knowledge of English. - Knowledge of another official language of UNESCO (Arabic, Chinese, Russian, Spanish). **BENEFITS AND ENTITLEMENTS** ----------------------------- UNESCO’s salaries consist of a basic salary and other benefits which may include if applicable: 30 days annual leave, family allowance, medical insurance, pension plan etc. For more information in benefits and entitlements, please consult [ICSC website.](https://icsc.un.org/) **SELECTION AND RECRUITMENT PROCESS** ------------------------------------- Please note that all candidates must complete an on-line application and provide complete and accurate information.
