- A minimum of five (5) years of progressively responsible experience in administrative services, training or related area is required.
- Fluency in oral and written English is required.
- Fluency in French is an asset.
- Knowledge of other official United Nations languages is an advantage.

Result of Service
· Efficiently support and contribute to the planning, coordination, and execution of training programs and initiatives within the UNJSPF Pension Administration's Business Support Section. · Accurately document training-related information, respond professionally to inquiries, promote learning resources, and assist in monitoring and reporting on training activities, while adhering to UN standards and contributing to budget monitoring. · Collaborate within the team, coordinate meetings and webinars, and actively seek professional development opportunities to enhance skills and understanding of the organization's broader functions. · Contributes to the effectiveness and efficiency of the department/unit by providing administrative support and specialized assistance to more senior staff in the assigned areas of responsibility.

Duties and Responsibilities
This position is within the team of the Business Support Section of the United Nations Joint Staff Pension Fund (UNJSPF or the Fund) Pension Administration. The incumbent reports to the BSS Training and Development Officer, under the overall supervision of the Chief of the Business Support Section. The Business Support Section is responsible for various services within the Pension Fund, including Staff Learning and Development, Human Resources, Facilities, and Sourcing Coordination units. The Administrative Assistant will be responsible for the following duties: · Drafts routine correspondence. · Maintains files of rules, regulations, administrative instructions and other related documentation. · Maintains up-to-date work unit files (both paper and electronic). · Coordinates extensively with service units and liaises frequently with internal team members both at Headquarters and in regional Offices · Performs other related administrative duties and coordinating administrative arrangements for seminars and conferences · Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. · Documenting external training records and evaluation forms, through established data collection methods. · Responding to inquiries and information requests regarding staff learning opportunities. · Promoting and updating learning resource information on SharePoint Online, Microsoft Teams channels, and other platforms. · Assisting in the organization of meetings, webinars, and in-house learning initiatives. · Work implies frequent interaction with all staff of the pension fund.
Qualifications/special skills

Languages
English and French are the working languages of the United Nations Secretariat. For the advertised post, fluency in oral and written English is required. Note: ‘Fluency’ means a rating of ‘fluent’ in all four areas (speaking, reading, writing, and understanding), while ‘knowledge of’ means a rating of ‘confident’ in two of the four areas. Fluency in French is an asset. Knowledge of other official United Nations languages is an advantage.
