Organizational Setting

Through its Country Offices, or FAO Representations, FAO assists governments to develop policies, programmes and projects to address hunger and malnutrition, and provides technical support for the sustainable development of their agricultural, fisheries and forestry sectors. The activities of the FAO Country Offices include design and implementation of country-tailored field programmes, liaison with local donor representatives, and active public awareness-raising and outreach activities related to FAO initiatives such as the World Food Day.

The position is based in the FAO Representation in Maputo, Mozambique.

Technical Focus

Provide Human Resources technical assistance, coordination and monitoring.

Tasks and responsibilities

The Administrative Assistant (HR) will perform the following tasks:

• Give guidance on matters related to HR to colleagues, project staff and consultants whenever required • Submit timecards for payment of salaries/honoraria due to national subscribers and international consultants • Support the short-listing and interview of candidates, as well as preparing documentation for the Selection Panel • Sharing information on employment opportunities • Initiation and preparation of documentation of personnel actions (i.e. initial appointment, separation, promotion, contract extension, salary increments) • Arranging for medical clearance • Monitor the contractual status of staff members in the assigned units and initiate timely action for reviews • Assist the staff members with clearance and separation formalities • Maintain updated a staff list of FAO Representation and Projects, Consultants, TCDC Experts, Casual Labour Personnel, the list should indicate EOD/NTE dates, level of honoraria, and other relevant information for each worker • Issue contracts for National Consultants and Personnel for FAO Projects and Representation • Operate general issues on GRMS, Service-Now and E-filling • Any other ad hoc assignments as requested by the supervisor

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements

• University degree in Human Resources Management, Law, Administration, and other related areas, • A minimum of 3 years of progressively responsible experience in Human Resources Administration • Working knowledge of English (C) and Portuguese

• Professional experience in administrative area and HR • Experience in providing consultancy at international level • Experience in legal drafting • Ability to work in interdisciplinary teams, negotiation and conflict resolution skills, good interpersonal skills, flexibility • Good computer skills as well as ability to manage basic Intranet and internet system • Ability to work effectively in a team environment • Knowledge of UN administrative procedures
