Org. Setting and Reporting The Administrative Assistant "A" repots to the concerned Legal Officer, Department of Legal Affairs, and under the overall supervision of the Director of Legal Affairs

Responsibilities Assists in the efficient organization and administration of the Department in matters relating to the Agency's contracting and procurement activities, administrative law, and international law;

Ensures proper maintenance of the Department's records, files, and other materials relating to the Agency's contracting and procurement activities and administrative and international law matters;

Arranges meetings and provides administrative and logistical support, as required;

Coordination of budgetary and other administrative matters, including office stationery, equipment, and the Department's library and subscription to books, periodicals and other publications from both inside and outside the UN system;

In coordination with concerned offices, arranges travel for the Department's staff, including travel management, preparation of briefing folders, and provision of long distance administrative support during staff travel;

Prepares draft correspondence of an administrative nature for the Department; maintains all working folders, including strictly confidential case files of the Department; works closely with other support staff of the Department regarding accuracy of correspondence, referencing, filing and maintaining of working and case files;

Maintains a work register and follow up system, including correct referencing of all working folders, including correct referencing of all incoming and outgoing correspondence and documents in close coordination with the Central Registry and other offices concerned;

Coordinates closely with the Office of the commissioner-General on confidential correspondence concerning the Agency.

- Demonstrated ability with personal computers and knowledge of standard computer applications including MS Word, Excel, and Outlook; - Organization skills with willingness and capability to work on own initiative and with little guidance; - Ability to work in a team and manage multiple demands with attention to detail and confidentiality; - Sound judgement on importance of issues; and - Demonstrated drafting skills in English.

Education Completion of full secondary education, and A Two-year diploma in law, human resources, or business administration.

Work Experience At least five years' experience as Administrative Assistant and/or legal secretary including experience with respect to law or human resources in an international or large commercial organization.

Experience in the United Nations System.

Knowledge of legal secretarial/paralegal duties.

Languages Excellent command of spoken and written English and Arabic.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice Type of Contract: Fixed Term Appointment

Duration of Contract: 3 years including 1 year probation period, with the possibility of further extension, subject to the availability of funds, satisfactory performance and continuing need.

This vacancy notice is open to internal and external candidates. Only candidates residing in Jerusalem/West Bank with authorization to work in the duty station at the time of application are eligible to apply. The Agency will not assume responsibility or accountability to support or facilitate the issuance of work permit in Jerusalem, and without a valid work permit, the appointment may be rescinded.
