Org. Setting and Reporting Desertification, along with climate change and the loss of biodiversity, were identified as the greatest challenges to sustainable development during the 1992 Rio Earth Summit. Established in 1994, the United Nations Convention to Combat Desertification (UNCCD) is the sole legally binding international agreement linking environment and development to sustainable land management. The Convention seeks to support countries to address Desertification, Land Degradation, and Drought (DLDD).

The objective of the United Nations Convention to Combat Desertification (UNCCD) is to combat desertification and mitigate the effects of drought in countries experiencing serious drought and/or desertification around the world, particularly in Africa, through effective action at all levels, supported by international cooperation and partnership arrangements.

The functions of the secretariat are, among others, to make arrangements for sessions of the Conference of the Parties (COP) and its subsidiary bodies. In addition, the secretariat also provides assistance to Parties in implementing the Convention.

This position is placed in the Administrative Service Unit (ASU).

Responsibilities Under the guidance and supervision of the Chief of the Administrative Service Unit, the assignments of the individual will include the following: I. Registry - Establishes and maintains a central filing system for the Secretariat. - Responsible for the registry, attribution, and distribution of all incoming correspondence (mail and e-mails). - Maintains a computerized log on a daily basis. Provides information to colleagues on all correspondence (including information on action and central file numbers) Scans and sends to relevant colleagues correspondence as necessary for distribution. Follows-up on impending actions. - Receiver of the secretariats main phone number and executes its related switch board duties - Performs a wide range of office support and administrative functions related to the Executive Direction and Management unit and assists with other ad hoc tasks. - Responds to moderately complex information requests and inquiries (e.g. answers requests requiring file search, etc.), and as necessary, refers inquiries to appropriate personnel for handling. - Assists in the preparation of presentation materials using appropriate technology/software; - Updates and maintains large distribution lists; monitors, prepares and distributes various materials, reports, where possible using electronic formats; handles arrangement for printing and translation as necessary; coordinates shipment arrangements, courier services, etc. - Maintains files (both paper and electronic) and databases for the secretariat. - Supports translations to and from German into English, supports editing documents and publications in German, assists in preparing German correspondence and other communications.

II. Registration for conferences - Registers, notifies, and supports delegates during the preparation and execution of UNCCD conferences (COP, CRIC).

III. Data entry/low value procurement - Enters UMOJA commitments for processing consultancy contracts Pre-Fund Commitments for processing payments. - Carries out procurement actions under the guidance of the Procurement Associate, requesting offers from predetermined vendors, and processing the service/product upon approval by the unit. - Assists in providing office equipment support and securing new supplies through a designated online vendor.

IV. Driving functions - Drives official vehicles safely for the transport of staff members and authorized visitors and delivers/collects urgent documents and other items to/from government office, run errands. - Responsible for the day-to-day maintenance of the assigned vehicle, checks oil, water, battery, brakes, tires, etc., and arranges for other repairs. Ensures that the vehicle is kept clean. - Performs any other job-related activities, acting as a backup to other support staff, if required to achieve the goals and objectives of the Unit.

Education High school diploma or equivalent.

Work Experience At least three (3) years of experience in programme management or administration or related area, of which preferably two (2) within the United Nations System or in a comparable international organization is required.

Clean driving record and valid driving license (min category B) is required. Experience is driving a variety of makes and models of vehicles.

Experience in assisting organizing conferences/workshops/meetings is required.

Languages For the position advertised, fluency in oral and written English language is required. Knowledge of German language is required.

Assessment Evaluation of qualified candidates may include an assessment exercise which will be followed by competency-based interview.

Candidates who have committed crimes other than minor traffic offences may not be considered for employment.
