Org. Setting and Reporting This position is located in the front office of the Office of the Director (OOD) of the Division of Healthcare Management and Occupational Safety and Health (DHMOSH), Office of Support Operations (OSO), Department of Operational Support (DOS).

The Department of Operational Support (DOS) was established to provide end-to-end operational support, advisory services and other solutions to operating entities across the Secretariat, including departments, offices away from headquarters, peace operations, and regional commissions.

The Division of Healthcare Management and Occupational Safety and Health (DHMOSH) provides services to Secretariat entities as well as to New York-based Agencies, Funds, and Programmes (AFP). The services include medical entitlement administration, occupational safety and health, medical workforce management, clinical governance, patient safety and public health. In addition, the Secretariat’s counselling services are located within DHMOSH.

The Administrative Assistant will report to the Deputy Medical Director.

Responsibilities Within delegated authority and under the supervision of the Senior Administrative Assistant, and the overall supervision of the Deputy Medical Director, the Administrative Assistant will be responsible for the following duties:

Human Resources Management - Initiates, processes, monitors, reviews and follows up on actions related to the administration of the unit's human resource activities, e.g., recruitment, placement, relocation, promotion, performance appraisal, job classification reviews, separation, training etc., ensuring consistency in the application of regulations and procedures. - Enters, maintains and certifies administrative data and records for time and attendance, performance appraisal, etc. in electronic information systems. - Reviews entitlements-related claims and reports. - Provides advice and guidance to staff with respect to administrative procedures, processes and practices, liaising with central administrative services as necessary. - Maintains and reviews organizational staffing tables.

Budget and Finance - Reviews requisitions for goods and services to ensure (a) correct objects of expenditure have been charged and (b) availability of funds. - Assists the Division Administrative Officer in the preparation of budget related documents and with requisition of services in iNEED services. - Prepares statistical tables and standard financial reports.

General Administration - Prepares, processes and follows up on administrative arrangements and forms related to the official travel of the Deputy Medical Director. - Drafts and proofreads routine correspondence. - Prepares talking points, briefing notes and correspondence by synthesis of inputs from technical experts. - Maintains files of rules, regulations, administrative instructions and other related documentation. - Maintains up-to-date work unit files (both paper and electronic). - Coordinates extensively with service units and liaises frequently with internal team members both at Headquarters and in the field. - Performs other related administrative duties, as required, e.g., operational travel programme; monitoring accounts and payment to vendors and individual contractors for services; physical space planning; identification of office technology needs and maintenance of equipment, software and systems; organizing and coordinating administrative arrangements for seminars, conferences and translations. - Coordinates incoming and outgoing communication on behalf of the Deputy Medical Director and manages his/her calendar and meeting appointments. Prepares meeting documents. - Provides administrative support for processing and preparing of cases being considered for disability benefits, including compiling and preparation of documentation, liaison with involved offices and agencies, including the Pension Fund, maintains the database on disability cases for reporting purposes.

    Education High school diploma or equivalent.

    Work Experience A minimum of five years of experience in administrative services, finance, accounting, human resources or related area is required.

    Experience in drafting and preparing correspondence including talking points and briefing notes is required.

    One-year prior experience in medical administrative work is desirable.

    Languages English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required; and knowledge of French is desirable. Knowledge of another official United Nations language is desirable.
