Org. Setting and Reporting The United Nations Global Service Centre (UNGSC) provides critical Supply Chain, Geospatial, Information and Telecommunications Technologies services and Training to all peacekeeping and special political missions around the world as well as to other UN Offices, Agencies Funds and Programs.

This position is located in the Campus Support Unit (CSU), within the Central Service at the United Nations Global Service Centre, Brindisi, Italy.

The Administrative Assistant is under the general supervision of the Chief, Campus Support Unit (CSU).

Responsibilities HUMAN RESOURCES - Enters, maintains and certifies administrative data and records for time and attendance, performance appraisal, etc. in electronic information systems. - Follows-up on actions related to the administration of the unit’s human resource activities, e.g., recruitment, placement, relocation, promotion, performance appraisal, job classification reviews, separation, training etc., ensuring consistency in the application of regulations and procedures. BUDGET AND FINANCE - Monitors status of expenditures and allotments through UMOJA, records variations, updates budget tables. - Consolidates data received and provides support to higher-level staff with respect to budget reviews of relevant intergovernmental and expert bodies. - Reviews status of relevant expenditures and compares with approved budget. - Reviews requisitions for goods and services to ensure (a) correct objects of expenditure have been charged and (b) availability of funds. - Assists in the preparation of statistical tables and standard financial reports. GENERAL ADMINISTRATION - Prepares, processes and follows-up on administrative arrangements and forms related to the official travel of staff. - Drafts routine correspondence. - Maintains files of rules, regulations, administrative instructions and other related documentation. - Maintains up-to-date work unit files (both paper and electronic). - Performs other related administrative duties, as required, e.g., operational travel programme; monitoring accounts and payment to vendors and individual contractors for services; physical space planning; identification of office technology needs and maintenance of equipment, software and systems; organizing and coordinating administrative arrangements for seminars, conferences and translations. - Provides secretarial, administrative and logistics support to meetings, boards, committees and conferences and maintains calendars/schedules. CONTRACT ADMINISTRATION - Assists with day-to-day administration of contracts between the UN and external contractors for outsourced services. - Processes payment of contractors' invoices and monitor the payments. - Prepares and processes UN forms and permissions for contractual work and services, including UN grounds passes, property passes, UN parking permits, swipe-card access and door keys. - Assists in the drafting the yearly budget and provides support with contracts administration (budget expenditure, purchase orders and service release orders). - Monitors contracts expirations, NTE amounts, and other contractual deadlines, and communicates relevant information to appropriate contract managers inside and outside the immediate work unit. - Performs other duties as required by the supervisor.

Education High school diploma or equivalent is required.

Work Experience A minimum of three (3) years of relevant experience in general office support, administration, or related area is required.

Experience utilizing Microsoft Office package (i.e. Word, Excel, PowerPoint etc.) is required.

Experience in Contracts Management is required.

Experience in Customer Service is desirable.

Experience in the United Nations or similar international organizations is desirable.

Experience in the field of Facilities Management Soft Services such as cleaning, waste disposal, pest control services is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For this position, fluency in English (both oral and written) is required; knowledge of another UN language is desirable.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country.

Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Service category in the United Nations Secretariat. Having passed the Administrative Assessment Support Test (ASAT) in English at Headquarters, ECA, ESCWA, UNOG, UNOV, ICTR, or ICTY may be recognized in place of the GGST, pending confirmation of validity.
