Result of Service Providing administrative support for the Staff Council of the United Nations Economic and Social Commission for Western (ESCWA) Asia and for the ESCWA Stories Team.

Work Location Beirut

Expected duration 3 months (1 May – 31 July 2022)

Duties and Responsibilities- Organize and facilitate the internal team meetings of the staff Council and the ESCWA Stories Team and provide relevant support to their members.

- Drafts routine correspondences to respond to queries of ESCWA staff members in respect to relevant administrative matters of the staff council, and to liaise with vendors and suppliers as well as Arabic, English and French speaking schools and the Lebanese National Commission for UNESCO.

- Coordinates extensively with service units, including the ESCWA Finance Unit, and liaises frequently with internal team members of the staff council.

- Initiate, review, process, and follow-up on actions related to the procurement of items (the Council's Gift Shop and the items purchased by the ESCWA Team for school students and teachers involved in the story writing and related activities); maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies and verifying receipt of supplies.

- Keep track of all available inventory and management of the Staff Council's gift shop and support the team for the proper delivery of souvenir items and equipment.

- Support the team in the fundraising activities related to projects of humanitarian matters (Shortage of Medicine, financial support to elderly/poor people) for the Staff Council and to projects related to mainstreaming the SDGs for the ESCWA Stories Team; Interact with national authorities and stakeholders, international agencies for fund fundraising programmes.

- Performs other related administrative duties, as required (e.g., operational travel programme; payment to vendors; payment to schoolteachers involved in the ESCWA Stories projects; identification of office technology needs and organize and coordinate seminars and conferences).

Qualifications/special skills Academic Qualifications: A first-level degree in management, business administration, sociology, or other related academic background is required. Experience: At least 8 years of proven experience of working with NGOs, staff unions, international organizations are required. Other relevant experience, relating to the areas of work of the council, is desirable. Language: Fluency in written and spoken English, Arabic and French is required.
