Org. Setting and Reporting This position is located in the UNJSPF Office in Geneva. The incumbent will report to a senior Officer in the UNJSPF Office in Geneva. The incumbent also reports to the Human Resources Officer in New York.

Responsibilities Within delegated authority, the Administrative Assistant will be responsible for the following duties:

Human Resources Management •Initiates, reviews, and follows-up on actions related to the administration of the office ’s human resource activities, e.g., recruitment of staff and consultants, placement, promotion, relocation, performance appraisal, job classification reviews, separation of staff members, training etc., ensuring consistency in the application of UN rules and procedures. •Responds to enquiries and provides information and advice to staff regarding their entitlements, administrative procedures, processes and practices, conditions of service, duties and responsibilities, and entitlements under the Staff Rules and Regulations in close collaboration with the Executive Office in New York. •Provides assistance to process travel, visa, UN laissez-passer and CDL requests. •Oversees the maintenance of job openings files and keeps track of status of vacancy announcements. •Monitors staffing table and prepare relevant statistical data/charts in close collaboration with the Executive Office in New York. •Ensures efficient induction and check-in of the Fund’s personnel in Geneva. •Ensures smooth separation and check-out of the Fund’s personnel in Geneva. Budget and Finance •Assists in preparation of budget performance submissions and finalization of budget performance reports, analysing variances between approved budgets and actual expenditures General Administration •Assists in the overall administration of the office, i.e. provides substantive and administrative support in managing priorities; coordinates and monitors multiple and diverse activities and work processes to ensure that management directives and decisions are properly carried out and products delivered in a timely manner. •Drafts routine correspondence to respond to enquiries in respect to relevant administrative, financial audit, personnel matters. •Coordinates extensively with sections, units and liaises frequently with internal team members both at Headquarters and in Geneva. •Performs other related administrative duties, as required (e.g., operational travel programme; monitoring accounts and payment to vendors and individual contractors for services; physical space planning;planning relocation requirements; organizing and coordinating seminars, conferences and translations). •Organizes official receptions, s and other official meetings in Geneva

Contract Administration •Assists with day-to-day administration of contracts between the UN and external contractors for outsourced services. •Audits the contractors' invoices against the goods and services provided by the contractor and approved by the UN. •Processes the payment of contractors' invoices and monitor payments. •Prepares and processes all UN forms and permissions for contractual and work Unit, Section or Service UN staff, including UN grounds passes, property passes, UN parking permits, swipe-card access and door keys.

Education High school diploma or equivalent.

Work Experience At least seven (7) years of experience in administrative services, finance, accounting, audit, human resources or related area is required Experience in administrative policies and procedures in the United Nations or similar international organizations is desirable Working experience on Enterprise Resources Planning (ERP) system, such as SAP/Umoja, is desirable

Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in both English and French (written and oral) is required. Knowledge of another official language of the United Nations is an advantage.

Assessment Evaluation of qualified candidates may include a desk review of PHPs, an assessment exercise and/or a competency-based interview.

Special Notice Please note that this is a temporary job opening, open to internal as well as external candidates. This position is available for 364 days with possibility of extension, which is subject to extension of the mandate and/or the availability of the funds. The selected candidate is expected to start as soon as possible. The United Nations Joint Staff Pension Fund (UNJSPF) is an independent inter-agency body established by the United Nations General Assembly. These positions are subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Having passed the Administrative Support Assessment Test in English at the United Nations Headquarters, Economic Commission for Africa, Economic and Social Commission for Western Asia, United Nations Office at Geneva, United Nations Office at Vienna, International Criminal Tribunal for Rwanda or International Criminal Tribunal for the former Yugoslavia; or the United Nations Accounting or Statistical Assistant Examination at the United Nations Headquarters may be accepted in lieu of the GGST. The applicable human resources procedures are governed by a Memorandum of Understanding (MoU) between the Fund and the UN Secretariat. Any candidate from a member organization of the UNJSPF applying for these posts is considered as an internal candidate provided he/she has been appointed through the appointment and promotion procedures applicable in his/her respective organization. Staff members are subject to the authority of the Secretary- General and to assignment by him or her. In this context, all staff are expected to move periodically to new functions in their careers in accordance with established rules and procedures.
