Result of Service Under the supervision of the 10YFP Administrative Officer and the Head of Secretariat, the Administrative Assistant will have the following responsibilities:

1. Budget and Finance: - Assists in the budget and finance aspects of the 10YFP Secretariat including: - Monitors status of expenditures and allotments through Umoja, records variations, updates budget tables. - Acts as a liaison with administration for invoicing and programming the incoming contributions - Reviews budget revisions; verifies availability of funds; ensures necessary approval - Assists in the preparation of budget performance submissions and prepares statistical tables and standard financial reports. - Facilitate the operational management of implementing partner contracts, including payments processing and keying expense reports

2. Travel and Procurement: - Assists in the organization of conferences and large meetings; provides technical Webex support for meetings, as needed; assists in the provision of logistics for conferences and other event, liaising with security and registering participants. - Calculate daily subsistence allowance for travel of senior UN staff, mission assignees and appointments, and other UN Staff, taking into account whether meals will be provided, and which stopovers is designated official business or personal. Depending upon actual category of the traveler, prepare travel authorization, calculate all other costs, including excess baggage, terminal expenses, subsistence allowance and travel advance. - Ensure that entitlements are in conformity with UN Rules, Regulations and policies. Refer discrepancies back to Administrative and/ or Certifying Officers for clarification and possible correction. - Assist in making travel and procurement plans - Maintain records of all travel authorizations processed and mission reports

3. Administrative support to the Head of the Secretariat - Provides general administrative support - Manages the schedule of important meetings - Supports the preparation and scheduling of conferences and meetings of the Board, key donors and partners - Drafts routine correspondence with key stakeholders - Supports management of the meeting and travel schedule

Duties and Responsibilities The 10 Year Framework of Programmes on Sustainable Consumption and Production Patterns (10YFP), adopted by Heads of State at the United Nations Conference on Sustainable Development (Rio+20) in 2012, is a global framework for action to accelerate the shift towards Sustainable Consumption and Production (SCP) in both developed and developing countries. UNEP was mandated by the UN General Assembly to serve as the Secretariat of the 10YFP. As reflected in the 2030 Agenda for Sustainable Development, the 10YFP plays a central role in achieving the shift to SCP: its implementation is the first target of Sustainable Development Goal 12 on “Ensuring sustainable consumption and production”; the 10YFP is also recognized as the Framework of reference for decoupling economic growth from environmental degradation in SDG 8. The 10YFP generates impact through multi-stakeholder programmes and partnerships, which develop, replicate, and scale up SCP policies and practices at all levels and which form together the One Planet network (www.oneplanetnetwork.org).

2022 is a crucial year for the 10YFP – One Planet network Secretariat, as the initiative is currently transitioning towards a second phase which will run until 2030. The Secretariat is leading the development of a post-2022 Global Strategy on SDG12 and SCP, building on a very strong political momentum for SDG12 and SCP, as key to achieving the international community’s objectives on climate, biodiversity and pollution, collaborating and delivering with multiple partners and donors. In this context and taking into consideration recent staff movement, the Secretariat is recruiting an Administrative Assistant to support its operations in the areas of budget and finance, implementing partners administrative management, travel and procurement.

Qualifications/special skills Competency: Professionalism: ability to perform a broad range of administrative functions, e.g. knowledge of budgets, finance and procurement processes. Knowledge of UN rules and procedures is desirable.

Communication: speaks and writes clearly and effectively; listens to others, correctly interprets messages from others and responds. Demonstrates openness in sharing information and keeping people informed.

Accountability: delivers outputs for which has responsibility in a timely fashion; operates in compliance with organizational rules and regulations; takes responsibility for his/her own shortcomings and those of the work unit, where applicable.

Planning and organization: Identifies priority activities and assignments; adjusts priorities as required; allocates appropriate amount of time and resources for completing work; uses time efficiently. Academic Qualifications: Completion of secondary school is required. Additional technical training in the fields of accounting/finance and/or administration would be an advantage. Experience: Five years of experience in administrative services, finance, accounting, audit, human resources or related area Language: For the post fluency in written and oral English is required and French is an added advantage.
