Org. Setting and Reporting

This position is located in the Asia and the Pacific Division (APD) under the Regional Structure of the Department of Political and Peacebuilding Affairs (DPPA) and Department of Peace Operations (DPO). APD keeps abreast of the latest trends and developments in the Asia-Pacific region and provides briefings on issues to senior officials in the UN Secretariat. It maintains contact with other sectors of the UN, international and regional organizations, governments and other stakeholders on coordination and policy matters. The incumbent reports to the Team Leader for South and Southeast Asia.

Responsibilities

Within delegated authority, the Administrative Assistant will be responsible for the following duties: Human Resources Management •Initiates, processes, monitors, reviews and follows-up on actions related to the administration of the team's human resource activities, e.g., recruitment, placement, relocation, promotion, performance appraisal, job classification reviews, separation, training etc., ensuring consistency in the application of regulations and procedures. •Enters, maintains and certifies administrative data and records for time and attendance, performance appraisal, etc. in electronic information systems. •Provides advice and guidance to staff with respect to administrative procedures, processes and practices, liaising with the Executive Office of DPPA DPO as necessary. •Maintains and reviews organizational staffing tables; prepares reports as directed. Budget and Finance •Assists team in the formulation of XB budget proposals and monitors status of expenditures. •Reviews requisitions for goods and services to ensure (a) correct objects of expenditure have been charged and (b) availability of funds. •Assists in the preparation of budget performance submissions. •Prepares statistical tables and standard financial reports. General Administration •Prepares, processes and follows-up on administrative arrangements and forms related to the official travel of staff. •Drafts routine correspondence. •Maintains up-to-date work unit files (both paper and electronic), assists with various team calendars and other planning/coordination tools. •Coordinates extensively with service units and liaises frequently with internal team members both at Headquarters and in the field. •Performs other related administrative duties, as required, e.g., operational travel programme; physical space planning; identification of office technology needs and maintenance of equipment, software and systems; organizing and coordinating administrative arrangements for seminars, conferences and translations. Contract Administration •Assists with day-to-day administration of contracts as directed. •Prepares and processes all UN forms and permissions for contractual and work Unit, including: UN grounds passes, property passes, UN parking permits, swipe-card access and door keys.

Work Experience

Five years of experience in administrative services, human resources, finance, accounting, audit or related area is required. The minimum years of relevant experience is reduced to three for candidates who possess a first-level university degree or higher. Knowledge of administrative processes of the UN as well as training on various IT applications/databases and tools that the UN utilizes for performance of administrative functions is required. Experience in working with an Enterprise Resource Planning (ERP) system, such as UMOJA, is desirable. Experience working with an international organization is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the position(s) advertised, fluency in both oral and written English is required. Knowledge of another official United Nations language is an advantage.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
