Overview

Assist in the administration function, manage accommodations and support logistics.

You have:

  • Adhere to NRC policies, tools, handbooks and guidelines.
  • Assist with the implementation of the administrative function portfolio according to plan of action.
  • Prepare and develop status reports as required by management.
  • Ensure proper filing of Admin related documents.
  • Arrange for staff and visitor accommodations including flight bookings and hospitality arrangements.
  • Ensure timely processing of visas and maintenance of follow up system for renewals.
  • Coordinate with landlords for office and guest house maintenance issues.
  • Maintain records of staff accommodation allocation in NRC guest houses.
  • File administrative documents according to procedures.
  • Purchase office supplies and maintain stock levels.

Generic responsibilities

  1. Adhere to NRC policies, tools, handbooks and guidelines
  2. Assist with the implementation of the admin function portfolio according to plan of action
  3. Prepare and develop status reports as required by management
  4. Ensure proper filing of Admin related documents
  5. Promote and share ideas for improvement of the administration function

Specific responsibilities

  • Arrange for staff and visitors, flight bookings, hotel accommodations and hospitality arrangements in Erbil office.
  • Make appointments and keep itineraries for NRC visitors when required.
  • Ensure timely processing of, visas and other relevant permits for International staff and NRC visitors and maintain a follow up system for renewals.
  • Receive and reconcile all flight and accommodation invoices and arrange for payments in coordination with finance.
  • Facilitate the accommodation arrangements of visitors and staff in guest houses.
  • Maintain records of allocation staff accommodation in NRC guest houses and alert the line manager/s about accommodation situation.
  • Coordinate with the landlords for office and guest house on issues related to maintenance, utility payments and lease agreements.
  • File administrative documents according to procedures and maintain stock of office supplies in Erbil office.
  • Purchasing office stationery and office supply for guesthouses and office need like (furniture, Bed sheets, Gas, keys, SIM cards, and other purchasing…).
  • Hotels reservation for training & Workshops & NRC events & meetings & conference.
  • Ensure that Erbil office is kept clean and provide line management support to office cleaner
  • Provide other support as requested by Senior Managers and Line Manager.
