Administration Officer

The Role Summary:

The role will provide administrative and limited programmatic support to the SomReP and other stakeholders (consultants, government etc). The position holder will be responsible for facilitating logistics both local and international (ground and flight); supporting procurement processes; support in organizing workshops and forums; documenting meetings/forums for the two teams. The staff will be required to travel. The position holder must hold the following competencies/attributes: Demonstrates well-developed interpersonal skills, excellent communication skills, both verbal and written, as well as negotiation skills and professional maturity; Able to function in a fast-paced, deadline driven, high-performance environment, and meet tight deadlines and multiple demands for support from a results-driven team; Must be highly organized and detail oriented; Must be able to maintain flexible hours when circumstances require to support deadlines, major events, donor and VIP visits, etc.; Must adhere to set security standards.

Key Responsibilities:

  • Facilitate scheduling of team calendars for SomReP Technical Unit Chief of Party and the Technical Unit respective team, including internal and external meetings, travel arrangements, consortium meetings. Will include documenting key SomReP meetings and forums as required.
  • Facilitate timely travel for SomReP team and other stakeholders. This will include booking of both air and ground travel as required, making accommodation arrangements in liaison with other admin teams while ensuring respective policies are adhered to
  • Filing key SomReP documents and managing document databases as required
  • Support in procurement of supplies and services in collaboration with finance and project staff for SomReP as required

Other administrative duties assigned including field travel to support both teams

Essential:

  • Bachelor’s degree in Business Administration, Business Management or any other related field
  • Microsoft word processing, Excel, email and Internet research skills required. Professional technical skill desired.
  • Three years of experience in front office or office management field
  • Proficient in written English
  • Team player
  • Good communication skills.

Working Environment:

• The position is field-based in Puntland, Somaliland with frequent travel to other target project locations
